Job Description

To perform business support for the Internal Control and Administration team of Global Corporate & Investment Banking Division (GCIB) with a focus on the responsibilities set out below.

  • To provide support to GCBDA and AIBD for general administrative duties such as, but not limited to, scheduling, systems set up/access application, expenses, logistics and other tasks such as filing, scanning, printing, binding, sending documents, assisting on conference room setup, issuing visitor access pass, reviewing business card application, vault/warehouse management & new joiner on/offboarding process and stationery management.
  • Supporting Managing Directors in GCBDA and AIBD for business trip and Gift & Hospitality event pre-event arrangements and post-event claims.
  • To arrange payment of invoice and to submit claims in relation to business trip, entertainments and miscellaneous expenses which cannot be requested or processed by MGS (outsourcing entity).
  • Personal Assistant (PA) and cover PA for senior management, when they are out of office as a backup.
  • Support and work closely with assigned internal stakeholders and colleagues across varied departments and also offshoring team to ensure smooth delivery of work responsibilities and operations.
  • To coordinate and control office’s equipment (e.g., mobile PC, soft/hard token, assets verification report, etc.) in GCIB.
  • To provide support in administrative matters and ad-hoc tasks assigned by HOD from time to time.

Job Requirements:

  • Minimum Diploma Qualified
  • Minimum 5 years’ experience in business support, coordination, or administration.
  • Team player with good interpersonal and communication skills.
  • Ability to work under strict timelines and manage multiple tasks simultaneously.
  • Ability to adapt to the changing needs of the organization and demands of internal and external stakeholders.
  • Attention to details and desire to deliver high quality outputs.
  • Proficiency in MS Excel (e.g., running and creating functions, pivot tables, charts), Word, PowerPoint
