Job Description for Admin Executive

The Admin Executive assists in administration of CGS-related functions to ensure achievements of overall department's targets and objectives in the areas of:

  1. Assume Secretariat role in coordination and preparation of EXCO Meetings, Sub-Committee meeting, including minute-taking and circulation of papers
  2. Assist in planning, coordinating and organising AGMs and EGMs and production of Annual Reports
  3. Assist in establishing and maintaining SAVH’s Quality Management System i.e. production of SOPs; review, recommends policies, methods, processes and techniques to improve the department and organisation as a whole by liaising with relevant stakeholders.
  4. Assist in procurement of administrative services and liaise/coordinate with vendors and service/solutions providers to ensure continuous delivery of services
  5. Provide support to other departments/stakeholders in the implementation of SAVH’s system and processes and other quality-related initiatives
  6. Perform administrative duties, as well as any other duties assigned by Corporate Governance and Services Manager and Executive Director

Pre-requisite for Admin Executive

  1. Minimum a Diploma, preferably a Degree in Business Administration or related disciple with at least 3 years of hands on relevant working experience
  2. Good knowledge of Secretariat Services i.e. minute taking
  3. Experienced and good knowledge with MS Office including Outlook, Word, Excel and PowerPoint
  4. Strong analytical and troubleshooting skills
  5. Meticulous with good working knowledge of quality management systems
  6. Good interpersonal and communications skills to interact effectivity at all levels
