Administrative Executive

Company Overview: Our client is seeking a highly organized and proactive individual to join their team as an Admin Executive. This role involves handling various responsibilities related to office administration, IT asset management, travel arrangements, and executive support.


Requirements:

  • Proven experience as an Admin Assistant/Executive in a similar role.
  • Strong in calendar and travel management of C-Suite
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office Suite and e-Travel applications.
  • Familiarity with IT asset management and procurement processes.
  • Ability to work independently and collaboratively in a fast-paced environment.

Key Responsibilities:


1. Travel Arrangement:

  • Manage e-Travel application system.
  • Monitor and coordinate bookings of flights, accommodation, car transfers, visas, etc., within the company's travel guidelines.
  • Keep records and arrange travel insurance for ad-hoc travelers.

2. Admin Support to MD & HEXCO Members:

  • Schedule business meetings for C-Suite and update the e-calendar accordingly.
  • Update C-Suite calendar.
  • Prepare and submit travel expenses claims for C-Suite in accordance with the company's travel guidelines within the timeline.
  • Provide administrative support to HR, including new hire onboarding and existing staff exit clearance.
  • Coordinate and provide support on logistic needs for staff events.

3. Office Administration:

  • Manage on an ad-hoc or project basis for all IT-related matters, ensuring smooth delivery and proper closure.
  • Keep detailed records of IT assets, including model, series number, warranty period, and assignments.
  • Maintain records of all IT software, including model, warranty period, and costs.
  • Raise purchase requests for required IT software/hardware from external vendors.
  • Submit requests for office access cards and guest WiFi for external visitors, ensuring timely issuance and collection upon return.
  • Check and verify all incoming invoices, liaise with related parties to verify differentiation, and ensure timely submission to Finance.
