General Summary of Responsibilities
- Provide administration support in the management office of the assigned Condominium, MCST
- Ensure compliance with divisional policies & ISO Procedures
- Any other duties assigned by the Condominium Manager, Property Executive / Officer and Head Office.
Specific Job Requirements:
Customer Service
- Attend to telephone and walk-in enquiries and complaints.
Complaint Management
- Record all feedback/complaints in record book/complaint log.
Facility Booking
- Responsible for the bookings of all facilities (swimming pool, spa pool, sauna, gym, squash and tennis courts, playgrounds, putting green, BBQ pits, function room, games room).
- Collection of booking fees and refundable deposits – ensure compliance with ISO Cash Management Procedures.
Renovation
- Record all receipt and refund of renovation deposit– ensure compliance with ISO Cash Management Procedures
Strata Roll
- Updating SP list
- Updating change of address
- Update master list
Issuance of security pass / carpark label
- Ensure proper record of receipt of Admin fee.
- Ensure proper record of issuance and balance inventory
Petty Cash
- Keep the petty cash under lock.
- Record all petty cash issued - ensure compliance with ISO Cash Management Procedures
- Responsible to report daily and final collection of cash status to Condominium Manager.
Key Press
- Keep an updated list of keys in key press
- Put updated copy on key press
- Record movement of keys
- Monitor return of keys
Filing System
- Filing and updating of all administrative documents and files and ensure that they are kept and filed in a manner which facilitates their easy retrieval
- Keeping record of all operation M&E drawing and tracing
- Keep a list of files created
Meetings
- Assist in preparation of logistics and refreshment for Council Meetings / Annual General Meeting
- Assist in preparation and dispatch of copies of Agenda and minutes of meeting
Event Management
- Assist in planning and organizing activities and decoration during major festive seasons: Chinese New Year, Hari Raya, Easter, Moon Cake Festival, National Day, Christmas.
Other Administrative Duties
- Order and keeping track of stationery inventory including office inventory
- Postage record for mailing
- Typing of minutes / correspondence / letter
- Preparation of circular to Subsidiary Proprietors / residents
- Distributing incoming fax / letters and keeping proper records of correspondences
