Work you’ll do


General Procurement Development

  • Familiar with end-to-end procurement processes.
  • Closely support and collaborate with facilities team to execute the end-to-end sourcing activities.
  • Prepare, evaluate, and submit price, proposals, recommendations to next level.
  • Manual & Online System Purchase Settlement.
  • Support receiving the invoice and payment schedule monitoring with service provider & internal finance AP team.
  • Ensure all certificates, warranty period coverage, direct material samples for re-purchase are well maintained.
  • Assist to respond back to internal user request on facilities services defects, repair, support and related to admin facilities department functions.
  • To coordinate and liaise with the building landlord maintenance team for any matters relating to facilities services repairs, replace & rectification works.
  • Support the admin facilities to perform all the paper works that arises as and when in the day-to-day facilities operations.
  • Raise purchase order for approval on procurement of new item, repair or remedy works, billing invoice and payment matters for job which had completed and delivered.
  • Placing order for confirmation of facilities works been approved, or for office renovations Adhoc works, etc
  • Liaise with vendor, supplier, contractors, building management on facilities works, to submit project, application of workers name list, turning on of building centralized aircon after office hours, etc
  • Source for quotes on the items for purchase request submitted and liaise with various internal department users accordingly.
  • Performing billing invoice checks and work closely on PO raised for financial year closing and to accrue any PO amount to next financial year.
  • Assist the facilities team with different vendors to monitor on the facilities renewal contract agreement for maintenance / servicing and submit up the renewal proposal contract agreement for approval.
  • Perform general administrative duties in the facilities.
  • Assist with data entry into the system for payment records, filing of documents, servicing report, etc.
  • Support with the inventory of facilities stock checks (light tube, projector lamp kit, etc).
  • Assist to source / liaise with external service providers for purchasing new FF / OE / General Fixed Asset office items.
  • Monitoring the budget code expenditure of each item and prepare the info for yearly budgeting exercise.
  • Work with facilities to maintain updated and accurate records of inventory, including disposal, signed out or replaced.
  • Prepare monthly reports of all admin facilities inventory and FF / OE /other misc records.
  • Ensure all incoming goods are received correctly and in good conditions before replacement or new installation.

Procurement Facilities Support Development

  • Assist in procurement work related support duties of the day-to-day facilities matters.
  • Sourcing of new procurement product / items for comparisons to review.
  • Facilitate new purchase / replacement General Office Items, FF or OE categories when delivery or installation.

General Work Support Development

  • Assist in covering the procurement duties of the day-to-day facilities matters.
  • To follow up with the duties and tasks as and when assign by the Manager / HOD

Requirements:

  • Minimum Diploma with equivalent qualification in Business administration management or Building facilities Services
  • Minimum 1-2 years of relevant work experience
  • Self-driven, highly dependable and independent, Meticulous, possess initiative, with the ability to multi-task, organize and prioritize work
  • A team player who is able to work independently
  • Experience dealing with both internal and external Service provider and support internal client work related request
  • Strong communication and interpersonal skills
  • Prior work experience in facilities operations will be an advantage
  • Proficient in Microsoft Office applications (Excel, Word, and PowerPoint)
