Job Description: Administrative Assistant

Position: Administrative Assistant

Location: White Sands Primary School, 2 Pasir Ris Street 11, Singapore 519075


Duration: June 15, 2024, to June 14, 2026

Hours:

  • Mondays to Fridays: 9:00 am to 3:00 pm (6 hours per day, no lunch break)
  • Service not required on Saturdays, Sundays, and gazetted public holidays

Scope of Responsibilities:

  1. Front Desk Operations:Attend to phone calls and walk-in customers, providing courteous and efficient service.
  2. Correspondence Handling:Manage incoming and outgoing mails and faxes promptly and accurately.
  3. Student Support:Attend to pupils' needs such as injuries and assist in tracking missing pupils.
    Assist in pupil matters including daily attendance, admission, P1 registration, P1 Orientation, Sec 1 Posting Exercise, and updating records of daily activities.
  4. Data Management:Maintain and update school data records accurately and efficiently.
    Assist in data compilation tasks as required.
  5. Logistics Support:Assist in logistics duties including sorting/distribution of booklets/pamphlets, maintaining inventory, stock-taking, loan of equipment, and equipment maintenance in rooms.
  6. General Assistance:Perform any other duties as assigned by Principal, Vice-Principals, Administration Manager, Teachers, Management Support Officers, etc.

Qualifications, Skills & Experience:

  • Minimum GCE ‘O’ or 'N' Level Certificate or its equivalent.
  • Excellent communication and interpersonal skills.
  • Strong team player with a proactive attitude and high level of initiative.
  • Positive attitude and willingness to learn.
  • Proficiency in MS Office applications such as Microsoft Word, Excel, and PowerPoint.
  • Ability to thrive in a fast-paced environment and multitask effectively.
  • Comfortable interacting with young children.
  • Prior experience working in a local primary school is preferred.
