Job Description
The role supports admin and operations within Customer Group. We need to ensure that processes, payments SOPs dont fall behind, we assist with communication to listeners, winners, media and other industry professionals.
Scope
Covering admin support work for Audio, Commissioning & Audience & Partnership teams
Responsibilities
Scheduling & Calendaring
- Manage meetings i.e. booking of rooms, checking of schedules, updating agendas for Head of Content Commissioning and Commercial Engagement (CCCE) and teams calendars. Cover duties for Customer Group department teams meetings.
Ops Support (Audio Oli 963)
- Prize Management, Work Rule Schedule, PersolKelly Timesheets, Station mailbox, and admin support for key events e.g. Mothers Day, Kids Workshop etc. (comms with listeners, registration, F&B, payments, coordination work for station)
Purchase Requisition, Purchase Order & Goods Receipt
- Raise PR/PO/GR for CG vendors/suppliers as necessary especially for Oli 963, Vasantham and CCCE teams.
Travel booking/logistics
- To assist with business or conference travel bookings flights, hotels, transfers for Head of CCCE and other Heads as necessary.
Tent-pole CG Events
- Managing e-invites, RSVPs, registrations for events.
Pitching
- Managing invites to Production Houses, registration of Production Houses, booking of rooms, chaperone duties for Production Houses on session days.
On-boarding of Customer Group department new hires/interns/freelancers
- Process and prepare for new joiners or interns on boarding. Liaise with HR, IT for laptop and Security for pass and iProfile location access request when required.
Hiring of part-time staff & Finance
- Managed PersolKelly part-time staff hiring/rehiring, timesheets and expenses claims submission + Finance talent form payments
Qualifications
- Minimum 3 to 5 years of working experience
- A Levels/ITE/Poly Diploma
- Knowledge of SAP, Procurement systems
