Administration Executive

The Executive, Business Office will be responsible for administrative duties linked to the supply of services to customers. In addition, support all internal processes aimed at improving manufacturing excellence, health and safety and efficiency.


Description:

Customer Service

  • Build rapport with customers to facilitate performance on contracted projects
  • Handle customer complaints and explain current status of requested products
  • Liaise with customers to establish work orders or update current work orders with change requests

Purchasing of Consumables, One-off items & Consumables for Preventive Maintenance

  • Assist technical personnel to order consumables when necessary.
  • Furnish POs with quotes obtained from supplier and oversee the complete process until items have been invoiced to Finance with all necessary documents and filing.
  • Proceed to update spreadsheet for future reference.
  • Liaise with suppliers & finance department with regards to any inquiries within the process

Receipt of incoming materials

  • Receive incoming materials & record all necessary details into a QR assigned as per GMP requirements.
  • Quarantine materials & inform QC Staff for approval.

Stock Checking Duties– Cat (1) – (4) consumables

  • Arrange for roster on a half-yearly basis which involves all technical staff.
  • Verify completed list & update next week’s list.
  • File previous week’s lists under the designated folder for GMP reference.
  • Liaise with relevant personnel if there needs to be any changes done to the relevant SOPs/QRs.
  • Forward a copy of the stock check lists to Finance Department in Radlink-Asia at the end of each month for their reference.

Daily checking of critical areas & equipment

  • Conduct daily checks on critical areas and equipment
  • Record findings under checklist
  • File the original copy for future reference

Daily Cleaning Services

  • Conduct periodic checks on the cleaner’s duties

Laundry Cleaning for Staff Uniforms & Labcoats

  • Liaise with laundry company to arrange for pick-ups & deliveries on a weekly basis

Miscellaneous

  • Ensure occupation ionizing radiation safety records are available with trending
  • Ensure manufacturing efficiency records are available
  • Ensure Scheduling for various tracers has been performed
  • Ensure appropriate cost analysis is performed when requested
  • Ensure summary investigation records for production failures are available with trending
  • Assist Head of SRP in obtaining quotes & pricing and any other duties assigned
  • Assist Head of SRP with renewal of Licenses & Permits pertaining to SRP.
  • Arrange for payment with Finance Department & liaise with relevant agencies on status of licenses & permits.
  • Ensure the receipt of daily dose request form & patient list from clinics to facilitate the following day’s production.
  • Cover another Business Office staff’s work when he/she is on leave/unavailable
  • Basic office housekeeping & ensure that the store room is in proper order.

Requirements:

  • Diploma in Business or other related field with at least 3 years’ relevant of working experience.
  • Excellent interpersonal and communication skills
  • Computer literacy in MS Word, Excel, PowerPoint and Outlook
  • Strong admin background
  • Excellent problem solving skills
  • Able to work under pressure
