Responsibilities:
General APAC HR Operations
- Support and work closely with the Head of HR, APAC in delivering the Regional HR Strategy
- Act as a 2IC in the absence of Head of HR, APAC, providing pragmatic and technically excellent advice to Senior Management, and the effective management of HR related matters.
- Work collaboratively with HR Managers and HR Business Partners in all APAC offices (Australia, Singapore, Greater China, Thailand) in the operational delivery of the firms cyclical HR processes, including but not limited to, LD / Partnership promotion, Global Associate Programme, Remuneration Review, employee engagement surveys etc.
- Lead and deliver ad hoc regional and change-management projects
- Ongoing review of regional HR Policies & Procedures.
Business Partnering
(This role acts as the HR Lead in Singapore and Thailand, and oversee the separate entity, SEA Recoveries, via the associated office in Kuala Lumpur)
- Develop and maintain the Singapore/Thailand HR function in alignment with overall HR Strategy and objectives
- Work closely with Office Managing Partner in delivering and communicating office strategy, including but not limited to - planning and delivering quarterly Townhalls, reviewing monthly newsletters, pulse survey etc
- Position HR as a strategic business partner within client groups and contribute to business planning and strategic discussions by providing commercial advice and support on all HR ops
- Collaborate with APAC Recruitment team in resourcing needs; provide insights on recruitment needs to facilitate necessary approvals
- Where appropriate, conduct joint interviews with hiring Partners / Managers
- Provide local knowledge and insights on market salary range; and oversee remuneration pegging of potential candidates
- Oversee formal offer process, arrange paperwork, and monitor onboarding experience supported by the local HR team
- Conduct employee counselling, grievance and disciplinary procedures; performance management procedures, probationary reviews (with the support of HR Advisor) and staff terminations where appropriate
- Oversee the leaver / exit process
- Manage office annual leave utilisation and employees' wellbeing; providing advice and support to partners and managers on employees' wellbeing and appropriate messaging
- Work closely with Legal Support Manager who oversees legal support function in the Asia offices and provide guidance/support in managing secretarial support function employees' lifecycle and experience
- Develop and sustain strong business relationships with client groups to become a trusted advisor
- Coach and support partners, heads of departments, and managers in their development of people management and leadership skills
- Work with partners and the wider business to ensure initiatives and solutions have full support ahead of implementation. Influencing and supporting change management across the practice
- Work with line managers to ensure the structure of the business areas is appropriate and meets the practice's commercial needs
- Where necessary advise on re-organisations, restructurings, redundancies and transfers
- Working with the broader APAC and global HR teams on the implementation of various policies and HR best practices including flexible working, mentoring, HRIS and D&I. Ensure HR policies on the intranet (SharePoint sites) are up to date and remain legally compliant.
- Supervise, mentor, guide, communicate and share expertise with the Singapore HR and Workplace Services team, as well as Office Manager in Thailand
- Work with the APAC L&D team to ensure that managers have the right skills, experience and knowledge to manage people effectively and to help and support them when gaps are identified. Facilitate and deliver L&D programmes as and when required
HR Ops
- Supervise HR Advisor / HR Assistant to ensure that relevant and accurate employee information is recorded on the HR database and that appropriate reports are generated
- Supervise the Law Society related renewals process, JLV Annual Report submission, and local and foreign lawyer registrations and terminations via the Legal Services Regulatory Authority (LSRA)
- Responsible for arranging secondments in and out of Singapore/Thailand as required - supporting partners to complete client/secondment requisition/business case, submission for approval and resultant paperwork
- Oversee Singapore & Thailand offices' Global Associate Programme (GAP) - applications, interviews of candidates, communication to successful and unsuccessful candidates, manage incoming GAP participants
- Supervise regulatory requirements pertaining to Employment Pass and visa applications/extensions
- Staying updated on Employment Regulations in Singapore, Thailand, and Malaysia
- Manage annual employee group insurance renewal exercise
- Collaborate with Finance team on annual budget exercise, quarterly reforecast exercises, and actual vs budget tracking, which includes communication to Partners and Line Managers on available budget and manage expenditures
Talent Management and Early Careers
- Organise and sit-in Talent Mapping / Management conversations with practice group Partners alongside APAC L&D team
- Work with Partners and Head of Departments to identify high performers and potential employees and agree on suitable talent programmes in accordance with the Firm's core curriculum
- Work with and advice Practice Group Partners on performance issues that arise via monthly tracking of financial stats and resourcing conversations
- Drive Objective Manager system utilisation and at least 2x career conversations annually
- Managing the office performance review process to feed into end-of-year remuneration review and promotions
- Together with the HR Advisor and APAC Early Careers team, lead and manage Practice Trainee and internship programs; apply consistent branding and employee value proposition principles, establish relationships with local Universities for sponsorship / branding collaboration, including law careers fairs with Singapore Management University (SMU) and National University of Singapore (NUS)
- Continue to stay updated on Singapore Institute of Legal Education (SILE) regulations pertaining to Training Contracts requirements
Remuneration Review
- Responsible for annual external remuneration survey submission for the office (e.g., WTW)
- Work closely with Head of Finance and COO in understanding the financial year remuneration review budget, provide salary projections, and responsible for creating first draft of salary range recommendations
- Responsible for leading the remuneration review process for the Singapore and Thailand offices
- Keep up to date on market intelligence on salaries and remuneration (and benefits)
- With the HR Advisor / HR Assistant's support, to ensure remuneration review letters are produced on time and accurate and payroll notified as required
Office Committees
- Ensure there is HR representation on the office Social Committee and Responsible Business Committee (RBC)
- Uphold and manage people budget allocated for HR/people initiatives
- Provide HR input and guidance to social committee and RBC initiatives; working with D&I colleagues to provide policy and best practice guidance
Candidate Profile
- HR Professional with experience of building effective relationships with senior stakeholders
- A good understanding of current Employment Laws in various offices, particularly with regard to ER issues
- Preferably law firm experience
- Solid recruitment experience
- Experience of managing junior staff preferable
- Strong team player essential
