Job Description
- Provide secretarial and administration support
- To ensure a smooth work procedure with strong administrative support.
- Answering calls, maintain calendars, coordinate virtual and physical meetings conference calls, coordinate travel arrangement and prioritize schedules and meetings as necessary.
- Create, organize and ensure e-filing and hard-copy filing system for easy referencing.
- Understand the internal approval processes and assist in the preparation of internal memo approvals for signatures.
- Preparation of invoice payment certificate and to ensure that invoices submitted ar accordance to memo approvals or service agreements (if any).
- Assist to record and update the attendance for the department.
- Manage office supplies stock
- Source vendors for products and services
- Render administrative support outside office events such as during Sales Launch an other show flat scope.
- Dispatch documents to external parties such as banks, legal firms, consultants etc.
- Purchase of Land Tender Documents and submission of documents to the relevant authorities/parties.
- Good liaison with other departments on Group Level.
- Multi-tasking and ability to handle additional tasks when assigned
Requirements:
- Three (3) or more years’ experience in administrative support or executive assistance
- Working experience in real estate company is an advantage
- Meticulous, good decision and problem-solving skills
- Good organisational, planning and time-management skills
- High proficiency with MS Office, including Word, Excel, PowerPoint.
- Must be digital savvy.
- Self-started and a team player who works effectively in a team environment
- Excellent communication/interpersonal skills - able to interact at all levels
