Administrative Assistant

Your primary responsibilities involve providing comprehensive administrative support and professional front office reception duties to ensure efficiency in daily operations.

Roles & Responsibilities

Calendar management:

  • Manage CEO’s calendar by scheduling and coordinating appointments, meetings and events.

Administrative support:

  • Plan and schedule meetings, prepare meeting agenda and presentation materials.
  • Make travel arrangement including booking of flights, accommodations, ground transportation and visa application.
  • Prepare monthly/ad-hoc reports as required.
  • Manage expense reports and claims matters.

Office & facilities support:

  • Ensure office equipment are maintained and service timely, such as photo copier, and water dispenser machines.
  • Maintain the inventory of office and pantry supplies.
  • Assist in resource booking, upkeep of meeting rooms and common area.

Front office reception duties:

  • Attend to guests and visitors in a friendly and professional manner.
  • Handle telephone calls and messages promptly.
  • Collect and distribute daily mails and receive courier/deliveries.

Requirements

  • GCE O Level and above
  • Prior experience in office administration/reception/secretarial support would be an advantage
  • Proficient in MS Office applications
  • Ability to multitask, strong interpersonal and communication skills
