JOB DESCRIPTION

Principal Responsibilities


I. Human Resource Administration


a. Manages and administers the employee database, including employee details, job changes, salary, etc.

b. Ensures the preparation of all correspondences to employees ie. employment, confirmation, termination, promotion, etc.

c. Maintenance of employee leave records, including leave due and taken both paid and unpaid. Monitors outstanding leave and ensures that they are cleared in a timely manner.

d. Foreign worker administration. Responsible for processing and renewal of any necessary employment related permits as well as repatriation of foreign workers.

e. Keeps abreast of changes to employment law as far as they impact on pay and benefits to ensure that regulations are followed. To bring any concern regarding compliance with employment law to the attention of the Office Manager.

f. Administration of employee confirmations and appraisals. To liaise with management to ensure that confirmations, appraisals, yearly reviews are done on time, documented, and kept in employees’ P-files.

g. Assist in the recruitment process whenever necessary.

h. To complete regular and ad-hoc questionnaires as required by the Ministry of Manpower.

II. Payroll

a. Manages and administers the payroll process, including computation of all pay, allowances, and deductions; ensures that complete records are maintained and that employees are paid on time.

b. Administers and process non-payroll benefits, such as medical entitlements, claims and payments.

c. Ensures that pay and allowances claimed appear reasonable and have been correctly authorized; to bring anomalies or concerns to the attention of management.

d. Ensures that all statutory deductions, income tax returns, NS and maternity leaves submissions and other contributions are correctly processed and reported as required on a timely basis.

III. General

a. Ensures that personnel files are kept complete and up to date, securely stored to maintain confidentiality and protect the interests of the Company.

b. Keeps the Managing Director advised of any problems, difficulties, or other developments as they occur.

c. Recommends from time-to-time changes to procedures, processes, and work practices to improve efficiency.

d. Provides regular and ad-hoc management reports (ie. labour cost, leave outstanding etc) on HR matters.

e. The HR & Finance Executive is required to maintain petty cash records, to order stationary supplies.

b. Education – Formal HRM Qualifications will be a great plus

c. Experience – At least 2 years of working experience, preferably in an international environment

d. Willing to comply with company standards

e. Must be able to exercise flexiblity hours in completing work

f. Willing to work 44 hours per week, with occasional overtime as and when required

g. Must be fluent in English spoken and written
