This advertisement is for the recruiting 1 position each of Receptionist & Office Assistant.
If successfully selected, you will be seconded to a MOE Primary located in Jurong West.
Contract Period: From 01 June 2024 to 31 May 2025 (or adjusted according to the actual start date after the issuance of LOA)
Personnel to be deployed at the following hours:
1. Receptionist
- Mondays, Tuesdays, Wednesdays & Thursdays: 8:30 am to 6:00 pm, inclusive of 1 hour lunch break
- Fridays: 9:00 am to 6:00 pm, inclusive of 1 hour lunch break
- Service is not required on Saturdays, Sundays and gazetted public holidays
2. Office Assistant
- Mondays, Tuesdays, Wednesdays & Thursdays: 7:00 am to 4:30 pm, inclusive 1 hr lunch break
- Fridays: 7:00 am to 4:00 pm, inclusive of 1 hr lunch break
- Service not required on Saturdays, Sundays and gazetted public holidays
Note: Working hours may be changed based on school needs. however , the number of working hours per week will remain the same i.e 42 hours per week.
The Services required are set out as follows:
1. Receptionist
- Manage General Office counter - Attend to walk-ins and phone calls, address stakeholders’ queries, provide basic first aid to pupils with minor injuries.
- Manage incoming and outgoing mail
- Track and replenish first-aid items in General Office
- Maintain general cleanliness and tidiness of the reception area
- Perform ad-hoc administrative tasks as assigned by School Leaders or Key Personnel
2. Office Assistant
- Manage office supplies and issue stationery ot staff
- Perform simple administrative work such as filing, sorting, photocopying and shredding documents
- Maintain general cleanliness and tidiness of the office storeroom and immediate work area
- Count and pack resources for distribution to staff and students
- Coordinate deliveries e.g. direct deliveries to designated venuses, contact staff in-charge to collect deliveries etc.
- Cover the General Office counter in the absence of the Receptionist and when additional support is required during recess and dismissal time.
- Track and replenish first-aid items in Special Rooms.
- Perform ad-hoc administrative tasks as assigned by school leaders or key personnel.
Note: Both deployed personnel are required to sign an undertaking to safeguard official information.
Both Personnel shall minimally have the following qualifications, experience and skills:
Qualifications
- Completed secondary school education
- Those who did not complete secondary school education, but with relevant working experience may also be considered.
Skills
- Good interpersonal and communication skills
- Comfortable with working in a fast-paced environment
- Resourceful and able to prioritise work to meet deadlines
