Main Responsibilities:

  • Administrative support to the APAC regional senior executives and 5-6 members in the department
  • Manage diaries and organizing meetings and appointments for the team.
  • Book and arrange travel, visa, transportation and accommodation where required.
  • Organize ad-hoc events, trainings and conferences for internal and external events, with and without vendors [related to meeting facilities, resources, technical, internal coordination with participants and speakers]
  • Remind the APAC regional senior executives of important tasks and deadlines.
  • Compile and prepare reports, presentations and correspondences. (set-up internal survey)
  • Manage databases and filing systems.[e.g. Playbook events]
  • Work with external vendors, suppliers and clients based on the department’s needs.
  • Collate and support Business Units (BU) Head in travel and general expense claims for submission to Finance department.
  • Manage internal processes e.g. compliance, agreement, purchase orders, payments, budget

Requirement:

  • Diploma or Bachelor Degree in any fields
  • At least 5 years of executive assistant experience in supporting multiple directors
  • Familiar with SAP (i.e. raising invoices)
  • Excellent organizational and time management skills
  • Resourceful and proactive
  • Tactful and discretion, for dealing with confidential information
  • Good written and spoken communication skills to all levels of stakeholders
  • High attention to detail
  • Excellent computer and administration skills (i.e. Email, Microsoft PowerPoint, Excel, Word).
  • Excellent in using digital platforms for organizing virtual/hybrid meetings e.g. MS Teams, Survey
  • Monkey, M Bluejeans, Zoom, MENTI, KAHOOT
