Job Responsibilities
As an Administrative Executive, you will play a pivotal role in supporting school operations and promoting our school's courses and services. Your primary responsibilities include:
Front Desk Management and Customer Engagement:
- Serve as the primary point of contact and assistance for visitors, learners, and parents at the front desk
- Manage incoming calls, emails, and inquiries, directing them to the appropriate staff members or departments.
- Handle walk-in inquiries, and address questions regarding admissions, programs, and services.
- Professionally handle inquiries about the school's courses and services and actively promote and provide detailed information about the school's services, policies, and offerings.
Overseas Learner Enrolment:
- Liaise with learners and agents, promote, and provide information about services and policies (e.g. give presentations, answer enquiries, make proposals, explain policies, etc.)
- Recruit learners for new courses and classes (e.g. generate and contact leads, maintain leads database, send mailers, etc.)
- Manage learner enrolment processes and procedures (e.g. stipulate contracts, enroll learners in courses, collect payments, etc.)
- Manage Student Passes and ICA processes and procedures (e.g. provide and disseminate information, submit documents, complete formalities, maintain database, etc.)
Full Time Course Delivery:
- Manage learners academic processes and procedures (e.g. monitor attendance, complete transfers/withdrawals/deferments, manage assessment records, reports and certificates, etc.)
- Assist in maintaining learner records, enrollment paperwork, and admissions documentation, ensuring accuracy and compliance with regulations.
- Plan and coordinate course schedules (e.g. plan and timetable courses, disseminate information, select venues, assign teachers, etc.)
- Manage course runs (e.g. prepare course documents, set up course venues, distribute course materials, delivery of progress tests, survey satisfaction, etc.)
- Collaborate with other administrative and academic staff to streamline processes, implement best practices, and improve overall operational efficiency.
- Facilitate academic-related inquiries and facilitate the school’s compliance to EduTrust requirements.
Qualifications:
- Able to communicate well in Standard English and one other language.
- Fluency in additional languages (preferable).
- Experience in administrative roles or a similar role.
- Strong communication and interpersonal skills.
- Ability to multitask and prioritise effectively.
- Good organizational skills.
- Experienced in using Microsoft Office (Word, Excel, Powerpoint).
