Incident Management – Central Depository

  1. Create the OneDrive folder by centre, by incident (child’s name and level), and various sub-folders.
  2. Track and monitor that sub-folders in OneDrive are updated timely, accurately and complete by Centre Ops with relevant files and documents.
  3. Assist Centre Ops in updating and storing of files and documents in OneDrive, accurately.
  4. Store incident reports (downloaded) from Centre Management System (CMS) into OneDrive.
  5. Champion for Incident Management System Project (work with IT and Child Safety Leader on the development of the IMS).

Incident Management – Action Plans Follow-up

  1. Follow-up with Centre Ops to ensure that internal follow-up/ action plans determined by Senior Management, Incident Reporting Core Team and Child Safety Unit are carried out accordingly and to the timeline.
  2. Assist Centre Ops to update the internal Incident Fact Sheet from incident occurrence, as case progresses and up until case is closed by ECDA or Police, whichever comes later.

Incident Management – Centre Management System (CMS) by ECDA

  1. Verify submission of incident reports in ECDA CMS.
  2. Track, monitor and update all incidents in current tracking system or Incident Management System (IMS).

Related SOP and Policy Implementation and Audit

  1. Ensure that current related SOPs and Policies are updated in accordance with current/best practices by ECDA.
  2. Support Child Safety Leader in developing internal audit checklist for centres.
  3. Support Child Safety Leader in auditing centres for compliance with SOPs and Policies.
  4. Identify gaps in current SOPs and Policies and work with stakeholders to update/develop SOPs and Policies.

ECDA’s Supervisory/Site Visits and Reports

  1. Act a sensor for centres receiving visits from ECDA CLOs.
  2. Download ECDA’s supervisory reports from Centre Management System (CMS).
  3. Follow-up with Centre Ops to ensure that the action plans are carried out accordingly and to the timeline.
  4. Track, monitor and update all supervisory actions plans in current tracking system.

Management Reporting

  1. Support the Child Safety Leader in reporting of incidents (including status and action plans)
  2. Support the Child Safety Leader in the monthly submission of Master List of incidents management and supervisory reports to SBU Head / General Manager.

Training and Research

  1. Conduct training for centre staff on related topics, to be determined by the Child Safety Leader.
  2. To research and provide child safety/ stress management materials as well as other learning resources like video clips, and short articles for centres.

Communications

  1. Work with stakeholders to develop Child-safe information in various formats such as brochures/posters and on social media.

Requirements

  1. At least 5 years of relevant working experience
  2. A Diploma or Degree in any discipline.
  3. Knowledge of child safety policies and/or legislation.
  4. Experience with Crisis Management, Government Agencies or Law Enforcement would be advantageous.
