- Providing administrative support to one or more lawyers
- Assisting with court filings and facilitating the meeting of deadlines by monitoring, maintaining, and updating calendar and providing timely reminders for lawyers
- File and organize legal documents in a timely manner.
- Answering calls, taking messages and handling correspondence. Also, assist with arranging meetings and conference calls.
- Preparation of invoices and expense reimbursements
- Responsible for the employer's daily activities, business travel arrangements, and vacation plans for the employer and family. Handle all preparations and schedule arrangements for trips.
- Calendar Management: Manage the Director’s schedule by coordinating appointments, meetings, and events, including booking venues for lunch/dinner events.
- Travel Management: Plan travel arrangements for the Director, which include booking flights, accommodations, ground transportation, travel insurance, and managing travel itineraries.
- The daily management of the employer's unit office and home office, performing secretarial duties. This includes managing the employer's business and personal correspondence, typing, handling emails, answering calls, making relevant calls on behalf of the employer, and organizing and maintaining corporate and personal documents. Additionally, the role involves coordinating and scheduling meetings, as well as attending to Director’s guests and visitors upon their arrival at the office.
- Handling guest reception on behalf of the employer. Additionally, responsible for guest accommodation arrangements and providing administrative support, including managing expenses and claims for the Director.
- Represent the employer in business negotiations, prepare contract documents for the employer's signature, and coordinate the planning and execution of signing ceremonies between the employer and negotiating parties.
Job Requirements
- Have good communication, administrative and organisational skills
- Familiarity with legal documents and terminology would be preferred
- Good command of spoken and written Japanese and English
- Proficiency with Microsoft Office programs
- Able to effectively prioritize and meet deadlines
