Job Position: Assistant Director, Secretariat Office
Reports to: Honorary Secretary, SAC EXCO
Term: Permanent
The Assistant Director oversees the Secretariat Office to ensure smooth operations and continuous improvement initiatives across the whole Association. Taking strategic directions from the Executive Committee, the Assistant Director will lead the Secretariat Office to actualise the mission of the Association.
Roles and Responsibilities:
Special Projects
- Review the Association’s processes, SOPs, implement/improve control systems and align with best practices including achieving ISO standards and Service Quality Awards
- Manage the Association’s overall Enterprise Risk Management and compliance
- Manage special projects directed by the Executive Committee; conduct research; review, evaluate and analyse statistical data, proposals and administrative reports; prepare summaries, narrative analyses and recommendations
Finance
- Lead on financial matters including providing key data for decision to the Executive Committee
- Present regular financial reports providing analysis and trends evaluation
- Lead the Association through annual budgeting process; manage annual audit process, preparation of financial statements and notes in accordance with the Charities Accounting Standards
- Oversee accounting systems, practices, policies to assure compliance and efficiencies including review of accounting software and recommend and implement training, improvements and migration as needed
Secretariat and Admin Services
- Provide support to the Executive Committee ensuring compliance with statutory and regulatory requirements
- Support Secretariat in the preparation for Executive Committee Meetings with the necessary papers
Corporate Communications
- Create, update and maintain corporate communications and social media guidelines and policies, ensuring a common understanding internally within the Association
- Develop a digital strategy, managing associated budgets such as branding of Association through website, Facebook, etc.
Professional Guidance and Supervision
- Provide guidance and supervision to team members of the Secretariat Office
- Look into the professional development of the team
Others
- Undertakes any other responsibilities and duties assigned
Job Requirements:
- Degree level in Accountancy or Business Administration, Management or equivalent, MBA desirable but not essential.
- Management experience reporting to director and/or Board level
- Experience of managing budgets and reporting KPIs to senior management
- Experience in project management, business development and/or relationship/stakeholder management
- Good verbal communication skills and writing ability
- Able to work independently and is a team player
- Able to work on selected evenings and Saturdays where required, and
- Proficient in MS Word, MS Excel, CANVA and basic editing skills.
- Prior experience in social service sector will be an advantage.
