Vendor and Client Management
- Proactively engage stakeholders to ensure that on site client’s expectations are met
- Build and develop effective client / stakeholder relationships across multiple levels of the Client’s organization
- Achieve Key Performance Indicators and Service Level Agreement target
Key Procurement Activities
- Manage end-to-end procurement of various products and services related to FM
- Serve as a liaison between vendor and operations team – understand requirements of operations team and translate them to procurement strategy
- Create key KPIs for vendors based on operations – ensure KPIs are embedded into the contracts
- Manage vendor KPIs including enforcing KPIs and damages if any
- Ensure vendors are well-managed, and deliver products and services on time and within budget
- Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as Jones Lang LaSalle best practice.
- Plan and manage all contracts to ensure that they are professionally delivered at the right costs. Ensure expiry of contracts are well-monitored and re-procurement is initiated if needed
- Ensure contracts are continually assessed to deliver best value to the client
- Ensure financial processes are followed at all times
- Ensure compliance with statutory regulations on fir, health and safety standards
- Recommend continuous quality improvement practices and implement Industry Best Practice operations
Sustainability
- JLL practices sustainable sourcing on all its projects. The candidate is expected to have basic understanding of sustainability principles and implement it in all its contracts including but not limited to restricting vendors from using non-sustainable products, using sustainable products and providing data towards re-sue and re-cycle
- Vendors need to be aligned and sustainable principles need to be enforced in all contracts
Operations
Be flexible and take on operations and facilities management projects when procurement projects are not underway. Brief scope of facilities management is provided as below
- On-site key point of contact for Facilities in the client’s premises
- Implement building procedures and performance measures and ensure they are maintained at all times
- Ensure all Critical Environment (CEM) requirements are met
- Review existing operations regularly to reduce costs and improve operational standards
- Ensure a property risk management program including audits is implemented and maintained
- Ensure disaster recovering and business continuity plans are implemented and maintained
- Ensure escalation procedures and incident reporting procedures are implemented and in place
- Has a customer service oriented attitude
- Conduct instructional briefings on inspection of premises to appointed contractor
- Prepare budgets for services under Workplace and Soft services
- Track and ensure timely work execution by appointed contractor to housekeep/maintain meeting rooms, social hubs and in-door plants
- Liaise with Building Landlord pertaining to any building maintenance and security matters
