Key Responsibilities
Leads the Fleet Systems team, reports to the Head of Technical
- Leads the Fleet Systems team based across all Global BWEK offices and External Consultants to work in synergy and collaboration.
- The Fleet Systems Team is responsible for all the Technical Department ERP and all other software, dashboards, etc. The scope covers software’s vendor liaison, data management, business user requirement development, software data / systems support to shore and vessels, upgrades management, ERP process documentation, help files creation, training material development, data analysis tools development excludes IT security, user login, platform infrastructural deployment & support, database management, vessel & shore database sync (to be handled by Corporate IT and Ship IT teams). Liaise with ERP vendors or Third party solution providers to provide adequate tools to end users.
- The software are maritime operations focused – ShipNet 1 for PMS, Procurement, Drydocking, Document Management (Document SE), Ship Inspection (ShipInspect); Mariapps for Crewing; SAIL for HSEQ/Vetting, PowerBI dashboards, E&E team dashboards and other minor software. This requires detailed knowledge about Marine Equipment, Equipment types/models/Manufacturers, Maintenance procedures & maintenance schedules, drydocking project procedures, budget management, Marine procurement procedures, Oil Major requirements, Crewing procedures which can be developed to convert paper based management systems into digital systems.
- Responsible for supporting all Technical department teams to analyze business operations translating the business goals into specific software requirements. Consult Technical, Marine, HSEQ, Vetting, Purchase, Crewing, E&E teams towards establishing Technical ERP needs & Change Requests via business process analysis and consultation. Create Change Request Specifications for approval by the Business User.
- Overall responsible for cost effective Technical ERP development / improvements with required financial approvals.
- Liaise with the Technical ERP Vendor, ERP IT and Vessel IT teams to implement Change Request project milestones & timelines, propose infrastructure and resources requirements, provide progress updates to senior management. Finalize the upgrades / new processes in discussion with specific teams and ensure proper approval process and alerts are encoded, workflows and software functionality. Ensure proper documentation of the impact of the Change Requests on current ERP processes and creation of training material. Carry out UAT product testing in collaboration with Technical & Purchase teams and ERP IT / Vessel IT teams to ensure the product complies to specifications. Effect Go-live rollout across shore and vessels, effect end user training and familiarization.
- Complement the ERP IT and Vessel IT teams, working closely with both teams to ensure IT platform business user support, systems development, smooth functionality with zero downtime.
- Responsible for adequate documentation of current Technical ERP Procurement module processes and preparing development progress updates. Creating Help files for shore and vessel end-users’ daily tasks.
- Responsible for Technical Dept dashboards development internally or by External Consultants.
- Provide overall support to the Technical Department on developing business analytical processes and data analysis tools as assigned by supervisors and /or Technical Director.
- Overall responsible for all Support Ticketing program (ITMS) raised by vessels and shore end-users related to Fleet Systems team. Ensure the escalation of the tickets into Third party vendors ticketing Monitor all tickets status, analyze the tickets to identify permanent solutions to reduce this errors / failure. All Fleet Systems tickets to be assigned and resolved in a timely manner with a certain Quality of Service.
- Responsible to follow up escalated tickets with ERP / Software vendors on a regular basis. Evaluate vendor Quality of Service (QoS) and track their performance. Set up regular meetings with vendors to discuss the quality of service towards improvements.
- Participate in the bi-annual Management Review Meeting (MRM) to showcase the Fleet Systems achievements, progress report, future roadmaps, analysis of ITMS tickets.
- Creating and overseeing protocols and procedures for the use of any new software applications.
- Collaborate with L&D team to develop ERP training material for shore and vessels.
- Provide ERP technical support and training to shore Technical ERP end-users.
- Support vessels onboard ship staff familiarization training & subsequent refresher training, as and when required.
- Support Corporate IT team as and when required to perform diagnostic tests and resolving issues to optimize performance, latency issues, data sync between shore / vessel, and other various troubleshooting.
- Assist and collaborate with Corporate IT & Vessel IT teams in User Profiles creation, Technical ERP applications configuration settings, interfacing with other company ERP systems, writing customized programs and scripts if required.
- Adhering to company policies and industry regulations.
- Keeping abreast of the latest Technical ERP upgrades and offerings.
- Any other tasks that may be assigned by Supervisors / Technical Director towards ERP projects, development, implementation, user testing across shore and vessel teams.
Requirements:
- Experience in Maritime industry related to technical support on Ethylene and LPG vessels for Technical ERP development.
- Good maritime technical operations knowledge
- Degree in Information Technology or similar discipline.
- 2 years of ERP Business systems support or consultancy experience.
- Proficient in computer software applications and good Microsoft Office knowledge. Experience in PowerBI / SQL is an advantage.
- Ability to communicate effectively in English language with all levels of staff and work independently in a fast-paced environment under tight timelines.
- Good organizational and interpersonal skills.
