1. Job Purpose
The jobholder is responsible to the Nurse Manager in performing all administrative, secretarial and operational duties using specific knowledge of medical terminology and hospital procedures to achieve patient service quality.
2. Duties and Responsibilities
2.1 Primary Job Duties and Responsibilities (80%)
Admission / Discharge / Transfer of patients
- Pulling of patient from areas of admission
- Assist nursing staff to prepare and coordinate clerical work for patient admission / discharge / transfers (step-down care, Senja etc.) as per hospital policy and procedure
- Record, update and check completeness of patient’s data / admission / discharge / transfer in medical records / electronic systems/ register book
- Daily entry of ward charges, patient diets, clinical requirements etc
- Schedule / confirm patient diagnostic appointments (with / without preparations) / surgeries / consultations / re-admission and discharged TCU
- Notify necessary parties on patient discharge as per policy and procedure
Administration / Operational Duties
- Responsible for ordering non-medical supplies (stationary, forms, educational pamphlets etc.)
- Order re-supply of consumables when necessary under direction of nursing staff
- Dispatch and retrieve correspondences, forms, documents, mails and specimen to / from appropriate departments via pneumatic tube, porter, e-mail, fax or by hand
- Perform book-keeping duties for medical records, case notes, correspondences, reports, invoices and phone directory etc
- Assist in getting support services from other units such as BME, CSS, OSS, ES, MRO, ambulatory service etc. where appropriate
- Keep updated on SOPs / HAPs relevant to job scope and hospital emergency situations
- Attend Inpatient Service Associate meeting
Reception
- Function as a receptionist who greet visitors, ascertain purpose of visit and direct them to appropriate staff
- Handle enquires and requests from external and internal customers, ensuring good visit experiences
- Answer, screen and direct telephones calls to appropriate staff
- Ensure tidiness of front counter, functionality of routine equipment in ward, availability of relevant documents / forms / notes and replenishment of informational materials in ward
2.2 Secondary Duties and Responsibilities (20%)
- Assist with or participate in work process / quality improvement projects/ special assignments for ward when required
- Assume any duties / responsibilities as assigned by Nurse Manager
Working Hours
Weekday (Shift): 6.30am - 4.30pm, 8.30am - 6.00pm
Saturday: 7.00am - 12.00pm (If scheduled)
Sunday / PH: Closed
