Job Description

1. Administrative Duties

  • Assist to manage the school’s official email address
  • Coordinate venue and facility arrangements for the monthly staff conference
  • Note-taking for the monthly staff conference (rotation with other colleagues)
  • Coordinate the school’s online platforms
  • Track and compile school events for updating of internal and external school publications
  • Coordinate the annual school photo-taking exercise
  • Assist with the collation of information for, and distribution of, school publications
  • Maintain and prepare of mailing lists for school events e.g. Founder’s Day, End-of Year Greeting cards etc.
  • Maintain, update and monitor the department budgets
  • Support the Advancement Office where required

2. Corporate Gifts

  • Stock-taking, gift procurement and re-ordering
  • Issue gifts when requested for
  • Prepare tokens of appreciation for special guests/speakers as and when required

3. Parent Liaison

  • School representative at monthly RPA Management Committee Meetings
  • Follow up and coordinate school logistics where necessary

4. Event Planning & Support

  • Support all department-led/involved school events, including but not limited to: Release of A-Level Results; Year 1-4 and Year 5-6 Open House; Founder’s Day; Scholarship Award Ceremonies
  • Liaise with event management vendor where applicable for logistics etc. for large-scale school events

5. Support and cover the other Communication Executives’ duties when required

6. Any other duties assigned by the school

Job Requirements

  • Good written and verbal communication skills
  • Proficient with MS Office
  • High level of accuracy and a good eye for detail
  • Clear and logical thinking
  • Good organisation and time management skills, with the ability to work independently on tight deadlines and under pressure
  • Good customer service skills with the ability to build appropriate, professional and friendly working relationships with various internal and external stakeholders
  • Able to demonstrate an understanding and respect for confidentiality in dealing with all sensitive school, alumni and donor information
  • Able to find solutions to problems in a timely manner, with flexibility in approaching enquiries
  • This is a 2-year contract (renewable)
