Job Title: Front Desk/Receptionist
Job Overview:
The Front Desk is the face of our studio and core to our client service! This role is crucial in creating a welcoming atmosphere, providing excellent customer service, and maintaining an organized and efficient front desk operation. We welcome candidates who are great team players and have a flair in customer service.
Responsibilities and Duties:
- Client service and relationship maintenance: Meet and greet clients, enhancing clients experience and maintaining brand image.
- Scheduling and managing appointments: Coordinate class schedules, private solo and duet sessions to ensure a smooth and organized timetable for clients and instructors.
- Client registration, onboarding and data management: Maintain an updated client database, including contact information, medical history, waivers, and consent forms. Guide new clients through the registration process, explain studio policies, and answer any questions they may have.
- Billing and payments: Handle client payments, process invoices, track accounts receivable, and manage any billing inquiries.
- Inventory management: Monitor and restock Pilates equipment, props, and other studio supplies as needed.
- Answering phone calls/texts and emails: Respond to inquiries, provide information about classes and services, and address any client concerns or questions.
- Studio maintenance and health and safety compliance: Ensure the studio is clean, organized, and well-maintained, including equipment maintenance and repairs. Adhere to health regulations, and promote COVID-19 safety protocols if necessary.
- Staff communication and coordination: Ensure daily duties and follow ups are done seamlessly.
- Attendance tracking: Monitor class attendance and manage late cancellations and no-shows according to studio policies.
- Event coordination: Assist in organizing workshops, special events, and promotions to enhance client engagement and attract new participants.
- Studio policies and procedures: Adherence to studio policies and SOPs, ensure all policies are well-communicated and followed by both clients and staff.
- Sales and retail management: Handle sales of merchandise and products available in the studio
- Miscellaneous administrative tasks: Assist with any other administrative duties necessary for the smooth operation of the studio.
Qualifications:
- High school diploma or equivalent required.
- Previous customer service experience preferred.
- Excellent communication and interpersonal skills.
- Basic understanding of computer and point of sale systems.
- Ability to multitask and stay organized in a fast-paced environment.
- CPR/AED certification is a plus.
Work Hours:
- Must be willing to work flexible hours, including early mornings, evenings, weekends, and holidays.
Compensation:
- Competitive hourly wage/salary ($10-12 per hour for part timer, $2000-$2500 for full time)
