Admin Assistant

Job Description:

  • Provide administrative support for Department.
  • Prepare required paper works. Check, sort and scan the course files.
  • Maintain and update information by hand or via data entry in various manual and computerized files, records, and logs. May purge files and prepare for document imaging. Organize files and retrieve data effectively.
  • May report to a number of supervisors. Organize and prioritize a number of varying tasks and generate work product in time frames given.
  • Coordinate with relevant parties any discrepancy or missing info on the supporting documents that needs to be completed.
  • Work closely with other Planning staffs for the timely submission of grant claim requirements.
  • Send SMS reminders to all respective parties in relation with class confirmation or postponement.
  • Check the completeness of information as prescribed in the class documentation checklist.
  • Check and update records in system.
  • Order, inventory, and maintain adequate office supplies for the department. Maintain office equipment and arrange for repair when necessary.
  • Perform other work which is consistent with the essential functions of the job.
  • Perform other duties as assigned.

  • Possess good customer service skills
  • Good English proficiency in both written and verbal is expected
  • Can communicate in Mandarin is an added advantage
  • Professional and PUNCTUAL
  • Possess excellent interpersonal skills
  • Possess can-do attitude, persistence and positive mind set about work
  • Trustworthy and goal-oriented
  • Meticulous and detailed-oriented

Qualification and Requirement:

  • Minimum ‘A’ Level
  • Must be proficient in Microsoft Excel, Word and PowerPoint
  • Possess excellent ability in tracking data as well as create working templates in Microsoft Excel
  • Able to adjust to different roles in planning department as instructed by direct reporting supervisor
