POSITION OVERVIEW AND RESPONSIBILITIES
i. As Assistant Administrator, your role encompasses all aspects of the daily management of the childcare and/or infant care services in accordance with all relevant legislation, industry guidelines and policies and procedures, and provide customer care services to students and their parents during their stay with the school.


ii. Responsibilities include but not limited to:
a. School fees invoices and record of payments
b. Handle new enrolment registration and provide administrative support by liaising with the parents, teachers, office staffs and regulatory bodies on enrolment and subsidy matters
• Assists Principal to contact parents for registration and handle parents’ enquiries
• Assists and ensures that parents fill all the necessary forms and submit all essential documents as required by ECDA

c. ECDA Matters
• Checks and verifies that all ECDA Forms (application for admission, parents’ particulars, application for government subsidy etc) are duly completed and signed.
d. Filing & General Administration
• Attend to telephone calls, emails and walk-in enquiries
• Maintains accurate administration records for child enrolment, withdrawal and parent subsidy claims
• Assist in ordering of stationaries, cooking ingredients and lesson resources.
• Prepares and displays up-to-date menu at the Parents’ Notice Board and Kitchen (any deviations / changes in menu, to be logged down immediately)
• Support all administrative aspects of organising school events
• Prepares approval memos, advice payment vouchers, medical reimbursements
• Ensure upkeeping of facilities (including but not limited to lights, windows, air-con, doors,
etc) and call for maintenance services when required
• Ensure SOPs are upkept and well maintained. Support all operational workflow.
• Conducts monthly stock check on items such as uniforms, stationery, toiletries etc
• Undertakes any other duties as assigned by the Principal from time to time
• Assist in all administrative matters and ensure smooth daily operation of the centre

• Required Skill(s): Should have basic skills of Accounting. Candidates who have previously worked in a school setting will be preferred.

• Proficient in MS Office (Word, Excel and PowerPoint)

• Preferably Junior Executive specialized in Clerical/Administrative Support or equivalent.

• Knowledge in ECDA systems (One@ECDA, CMS, etc)

• Meticulous, organised and able to multi-task

• Creative and inspiring with loving energy

• Enjoy working in an environment of educating young children.

• Excellent communication skills

• High levels of emotional intelligence, adapt in relationship management with peers and parents.

• Good interpersonal and communication skills.

• Flexible and able to offer help when needed.
