Operations and Finance Coordinator

We are actively looking for a dynamic professional to join our team as an Operations and Finance Coordinator. The selected candidate will play a vital role in ensuring the seamless operation of our retail outlets, specifically managing the durian shop "99 Old Trees Durian" and the gelato cafe "Tom's Palette."


Responsibilities:


Provide daily updates to the directors.


Operational Excellence:

- Coordinate and organize itineraries for drivers, detailing destinations and delivery requirements.
- Oversee the efficient delivery of goods to different outlets and customers on a daily basis.
- Implement measures to optimize operational efficiency.

Operational Oversight:

- Collaborate with directors to oversee the effective functioning of all outlets, including "99 Old Trees Durian Shop" and "Gelato Tom's Palette."
- Work closely with the management team to anticipate and address operational challenges.

Financial Administration:

- Handle financial transactions, including invoicing, payments, reconciliation, and bookkeeping.
- Conduct administrative tasks such as scanning receipts and paperwork.
- Perform audits on receipts and payments, ensuring accuracy and compliance.
- Collect receipts from various outlets, process them promptly, and organize them systematically in a centralized drive.

- Manage the Point of Sale (POS) system, overseeing its efficient operation and resolving any related issues promptly.
- Process claims efficiently, categorizing them based on claimant information.


HR Compliance and Schedule Management:

- Manage HR compliance matters.
- Monitor and maintain accurate records of workers' schedules.
- Conduct audits on staff schedules to ensure compliance and efficiency.

Qualifications:

  • Previous experience in operations, finance, and HR coordination.
  • Strong organizational and multitasking skills.
  • Detail-oriented and capable of maintaining accuracy in financial and operational records.
  • Ability to collaborate with team members and communicate effectively.
