Our Client is a leader in the Manufacturing MNC. Due to their current expansion plan, they are looking for a Project Secretary to join their team, in hopes of developing the current high performing team. They are located in the West.
Responsibilities
- Provide comprehensive secretarial and administrative support to directors and the team.
- Maintain schedules, arrange appointments, and coordinate meetings and travel arrangements for the team.
- Manage incoming and outgoing communications, including telephone calls, messages, and emails.
- Prepare meeting agendas, take meeting minutes, and transcribe dictation as needed.
- Assist in preparing presentation materials, bid documents, and fee proposals, various documents and correspondences, including letters, reports, tenders, specifications, and submission proposals.
- Coordinate and liaise with overseas offices.
- Update and maintain contact lists and process claims and timesheets.
- Assist in monitoring and tracking project statuses.
- Collaborate with corporate services and other departments.
- Any ad-hoc duty as given
Requirements:
- Min Diploma in Business Studies/Administration or relevant field
- Min of 2 years of relevant work experience, preferably in the built environment industry.
- Experience in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience in preparing tender documents and contracts will be added advantage
