Job Responsibilities
- Compile and verify staff attendance records
- Document and transcribe minutes for both administrative and operations monthly meetings.
- Manage various Human Resource tasks, including onboarding new staff, handling staff departures, maintaining employee records, and overseeing the activation and deactivation of staff access cards.
- Coordinate facility bookings and permits.
- Source, invite bids, and award contracts for approved administrative needs, such as insurance, office supplies, copier toner, paper, and staff uniforms.
- Prepare Saturday work schedules for the administrative and call center teams, as well as plan coverage for staff absences and leaves.
- Organize and maintain records for new and renewed tenancy agreements, collaborating with tenants, landlords, and Purchase Orders to address any missing documents.
- Provide assistance with sustainability projects.
- Collect and submit staff claims related to transportation, overtime, and wellness benefits.
- Manage the coordination of various certification documentation for both internal and external audits.
- Oversee daily reporting for permits and quarterly reporting for administrative contracts set to expire, particularly concerning Housing and Development Board (HDB) agreements.
- Provide support for feedback and Computerized Facilities Management System (CFMS) and deliver presentations to the General Manager and Heads of Departments on administrative matters.
Job Requirement
- Candidate should possess a diploma or degree in related studies
- Possess a minimum of 5 years of admin managerial experience
- Collaborates well within a team and pays great attention to detail
- Proactively takes the lead in implementing new initiatives
