Job Description:
We are seeking a highly skilled and versatile individual to join our team as Admin Executive. This is a multifaceted role that requires proficiency in English and Chinese languages, as well as strong organizational and administrative abilities. The successful candidate will play a crucial role in supporting our sales/delivery operations, handling administrative tasks and office management.
Responsibilities:
1. Sales/Delivery Operations:
- Coordinate and manage all aspects of operation processes, including arranging sales documents, preparing warehouse documentation, and ensuring timely delivery.
- Collaborate with internal teams and external stakeholders to ensure smooth coordination of activities.
- Monitor and track sales order, addressing any delays or issues that may arise.
- Communicate with suppliers, customers, and deliveries to gather necessary information and resolve sales-related inquiries.
2. Administrative Support:
- Perform general administrative tasks, such as answering phone calls, responding to emails, and maintaining filing systems.
- Assist in scheduling appointments, coordinating meetings, and managing calendars.
- Prepare reports, presentations, and other documentation as required.
- Manage office supplies and ensure proper inventory levels.
- Receiving visitors
- Arrangement of travel related needs
Requirements:
- Fluency in English and Chinese languages so to communicate with Chinese speaking clients.
- Proven experience in administration.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills to liaise with internal and external stakeholders.
- Attention to detail and accuracy in handling documentation.
- Proficiency in MS Office applications (Word, Excel, PowerPoint).
- Ability to work independently and collaboratively in a fast-paced environment.
- Flexibility and adaptability to handle changing priorities and meet deadlines.
