Job Responsibilities
General Administrative
- Prepare all agreements/contracts for engaging external vendors/individuals.
- Source and manage bookings of suitable rehearsal and performance venues.
- Apply for appropriate licences whenever necessary (e.g., Compass, Archival form).
- Ensure completion, updating, and filing of all paperwork and documents.
- Regularly update the database for Artists, Conductor, Director, Production Team & Choruses.
- Arrange and coordinate meetings as required.
- Organise vocal classes, workshops, and masterclasses as needed.
- Manage and maintain Production Inventory in SLO Storage.
- Source and coordinate flight and accommodation for international Artists, Conductor, Director, Production Team & Choruses.
- Act as a liaison between SLO and external parties/individuals.
- Arrange auditions when necessary.
- Perform any other duties as assigned.
Production Matters
- Assist the Artistic Director/ Manager in engaging Directors, Conductors, Artists, and Production Team for productions.
- Prepare the production budget and scheduling.
- Provide backstage support during rehearsals and performances.
- Facilitate communication between SLO and individuals involved in productions.
Training Programmes - Choruses
- Oversee and attend the training sessions of SLO Choruses (Adult, Youth & Children).
- Oversee and attend all choruses’ rehearsals and performances (internal & external).
- Prepare and manage the administrative requirements of the SLO Choruses.
- Serve as the main contact person between SLO and Choruses (including parents of Youth & Children Choruses).
- Arrange for pianists when required.
- Collaborate with SLO Chorus Masters to develop schedules.
- Prepare music scores for Chorus Masters & Members for rehearsals.
- Organise auditions for new members as needed.
- Ensure the SLO Chorus Library is updated and catalogued appropriately.
- Fulfil any other chorus-related duties as assigned.
Working hours
- Monday (half day: 9.00am - 1.00pm or 2.00pm - 6.00pm)
- Tuesday to Friday, 9am - 6pm
- Saturday, 8.30am - 12.30pm
Should you be expected to work outside the prescribed hours and days, off in lieu will be granted at the discretion of the Management.
Additional Notes
Production Coordinator are expected to report early for events and outreach programmes (as early as 6.30am) but are allowed to claim time off afterwards.
Job Requirements
- Candidate must possess at least a Diploma/Bachelor of Arts, Arts Management, or equivalent
- Must be articulate, with excellent organisational skills, can multi-task & able to prioritise workload
- Minimum two years’ experience in managing artists and production is preferred.
- Excellent writing and communication skills
- Excellent attention to detail and must be resourceful
- Ability to speak and write Chinese preferred – to liaise with the Mandarin-speaking artist and audience
