Responsibilities:
1. Travel management - full suite from visa, logistics, greetings, and meeting arrangements
2. Schedule management - full suite (both private and personal activities)
3. Upkeep CEO’s calendar, daily schedule and following up on outstanding matters in a timely manner. Organize meetings and schedule calendar and perform as document keeper for minutes of meeting and agreements/contracts.
4. Review and produce documents, briefing papers, report and presentation
5. Act as the point of contact between Management/Executives and Employees/Clients
6. Collaborate with cross-functional teams to facilitate project implementation and execution and providing regular updates to the CEO.
7. Expense claims and credit card reconciliation
8. Ad-hoc jobs as assigned.
Qualifications / Experience:
1. Diploma or relevant certifications in administration / secretarial studies
2. Preferably, a degree in Business Administration/Management, coupled with experience in an executive assistant/personal assistant.
3. Outstanding organizational and time management skills
4. Excellent verbal and written communication skills
5. Good coordination skills
6. Ability to work independently
7. Excellent MS office knowledge
8. Experience with Zoom, Teams, Google Meet, Outlook, Minutes Taking and Calendar Management
9. Professional discretion and able to maintain confidentiality at all times, highly trustworthy
10. Bilingual in Mandarin and English.
