Job Responsibilities:
Procurement of spare parts, stores and lubricants for vessels.
This will cover the following duties & responsibilities:
1. Review requisition for spares, stores and lubricants from vessels and superintendents.
2. Based on these requisitions, prepare enquires and send to selected suppliers for quotations
3. Review quotations for correct offer. Seek clarification from suppliers or vessels, if necessarily
4. Pre-select the supplier offer based on:
a. Meeting requirement
b. Delivery schedule
c. Competitive pricing
d. Reliability based on past experiences
5. Forward selected supplier offers to Superintend to countercheck the specifications and approve the quotation.
6. Send to HOD to approve issue of PO to selected Supplier.
7. Issue PO to selected Suppliers
8. Monitor the readiness of purchased item.
9. Co-ordinate with supplier, forwarder, port agent and various parties to ensure timely delivery of goods onboard vessel at convenient ports worldwide.
10. Communicate with vessels to ensure items are delivered timely and ensure necessary documents are returned to office for processing.
11. Matching of PO, DO and invoices to ensure payment to suppliers are timely
12. Maintain up-to-date record and files for quick retrieval.
13. Perform supplier qualification and audit
Handling of projects and other duties assigned to improve work efficiency as required
Job Requirements:
- Min. Diploma in Supply Chain/Engineering/Marine discipline.
- 2 years related experience in shipping environment preferred.
- Conversant with Microsoft applications
- Excellent communication, interpersonal and negotiation skills
- Good team player who is an analytical and self motivator
