Tenure- 1 year (Full- Time)
Provide Administrative and Logistics support for day-to-day operations and special events including sourcing and procuring goods and services required to fulfill administrative and logistics functions
Responsibilities
- Coordinate set up of facilities for meetings and events
- Provide administrative support.
- Support the on and off-boarding of new joiners & leavers
- Issue/receive loan items for events & office use
- Manage the office telephone system
- Manage office supplies stock and Issue to user division when required
- Provide administration support in emergencies such as Haze situation, flu pandemics
- Control the office keypress including issuing and accepting back office keys
- Manage incoming and outgoing mail for SINDA
- Manage term contracts and procurement activities including tenders and quotation exercises.
- Develop procurement documentation e.g. write requirements and approvals and forecasting demand and budget
- Carry of demand aggregation for the organisation
- Analyse and review the budget utilised by vendors
- Source vendors for products and services
- Collate and assess the billings of vendors for admin-related services
- Check the billings are in accordance with the services and contract price
- Record all the billings for analysis
- Monitor contracts under the Administration department’s purview
- Analyse and review the budget consumed by vendors
- Support in procurement activities
- Identify and recommend the creation of new SOPs and revision for the existing SOPs in the administration department
- Support building and facilities management activities
- Administer Facility bookings
- Administer pantry and stationery items
- Manage assets & Inventories
- Adherence to SOPs, Financial and Procurement guidelines
- Participate in Divisional and SINDA-wide events when required
- Any other duties as assigned by RO/ HOD.
Requirements
- Diploma/Degree in any discipline
- 1 year of working experience in a similar role
- Meticulous, good decision and problem-solving skills
- Good organisational, planning and time-management skills
- Able to work independently and in a team
- Effective communication, interpersonal, and influencing skills and ability to manage stakeholders across different levels.
- Proficient in MS PowerPoint and MS Excel for presentations
- Able to perform basic data analysis and reporting using Excel/Power BI would be an added advantage
- Good communication and business writing skills
