Human Resources Assistant
Purpose of the Role
The ideal candidate will support the HR function on daily HR operation matters.
This role will be based in Singapore, and only open to Singaporeans or Singapore Permanent Residents.
Responsibilities
Assist with day-to-day operations of the HR functions and duties which includes but not limited to the following:
- Schedule interviews and coordinate timing with Hiring Managers and Candidates
- Schedule job briefing between hiring manager and recruiters
- Liaise with recruiters on terms and conditions of engagement and keeping track of recruitment expenses
- Prepare offer and ad-hoc employment letters, e.g., certificate of employment, visa letters, confirmation letters etc.
- Apply, renew and cancel work pass for foreign employees
- Manage Ignite! on-boarding administration (e.g., including email & IT matters, prepare induction pack for new hires etc.)
- Support exit clearance logistics
- Support the team on logistics related to employee engagement activities
- Assist the team on weekly and monthly meetings logistics (e.g., minutes taking, following up on deadlines with respective team members)
- Insurance administration – register/de-register new hires/leavers and other administrative matters
- Data entry and maintain data integrity of employee data in HCMS
- Assist in ad-hoc Finance administrative duties (such as check and verify invoices for services engaged, compiling invoices and checking receipts, follow up for approval signatories)
- Attend to employee general queries
- Other Projects (as and when assigned, e.g., support new HR systems implementation, provide remote support to the Regional T&OD & DIB&E Manager – Asia Pacific)
- Perform other HR duties as assigned
Qualifications
- Diploma in Human Resources or Business-related disciplines preferred
- Minimum 3 years of working experience is highly preferred
- Proficient in Microsoft Office
- Supporting the Regional HR Team and Singapore office-based employees on HR operation matters
- Ability to multi-task and have a sense of urgency
- Being resourceful and possess curiosity to learn
- Being discreet and able to handle confidential information
- Self-motivated and a good team player
- Strong communication abilities and a positive demeanor
- Pleasant personality and able to engage multiple stakeholders
- Exhibit professionalism and attention to details
