Contract Duration: 12 Months
Working Hours: Monday – Thursday: 8.30am – 6pm, Friday: 8.30am – 5.30pm
Basic Salary: Up to $5,350 per month
Job Responsibilities:
· Provide administrative and secretarial support for day-to-day tasks like schedule management, booking meeting venues, handling meeting logistics, and managing requests from staff and external companies as well as agencies for meeting slots
· Manage travel arrangements for the Director, handle expense claims, procure office supplies as well as track processing of invoices and payments
· Organise divisional functions, off site and teambuilding events as needed
· Prepare meeting materials and event admin briefs where necessary
· Perform budget tracking for certain line items and purchase related processes
· Participate in any other ad hoc projects (such as assisting with events management) and committees as assigned from time to time
Job Requirements:
· Diploma in any discipline.
· Minimum of five to seven years’ secretarial experience at the executive level preferred.
· Proficient in Microsoft Office Word, Excel, Outlook and PowerPoint
· An independent, self-motivated, organised and resourceful individual who has strong time management skills and can work well with minimal supervision
· Able to pick up new tech systems/tools required for work
· Good negotiation, interpersonal and communication skills
· Exercise sound and reasonable judgment in sorting out priorities and deadlines
· Attention to detail and meticulousness
· Possesses professionalism, tact and discretion in handling confidential matters
