Job Purpose:
The Senior Operations Executive is responsible for supporting the development of procurement strategies by monitoring inventory movement and reconciling supplies with established procedures. The job holder assumes responsibilities for daily operations encompassing end-to-end order processing, facilitates the storage, deployment of products to clients and aids in conflicts resolutions.
Critical Work Functions & Key Tasks
1. Procurement
a) Deploy organisation's procurement activities based on established product specifications and customer needs:
- Compile local office orders to place them to vendors/suppliers
- Validate local office orders
- Work with regional managers/sales on order requirements (eg: order project based, buffered and plan orders
- Follow up and track on daily operational issues/queries (eg: enquiry on stocks availabilities/product items/requesting for special prices/expediting/chasing orders, etc)
b) Manage working level relationships with external vendors for optimal procurement transactions:
- Checking on order confirmations from vendors
- Follow up and coordinate with vendors/suppliers on order/shipment schedules and requirements
c) Monitor compliance of organisation's procurement targets and Key Performance Indicators (KPIs)
d) Execute measures to improve vendor management capability in the organisaion
2. Logistics Management
a) Work closely with forwarders/couriers for freight booking and to provide insights on the most cost-efficient freight shipment alternatives based on prevalent tariffs, insurance and quotas.
b) Coordinate and follow up with shipment schedules and plan deliveries
c) Plan logistics to ensure that there is sufficient storage space for incoming shipments
3. Inventory Management
a) Ensure completion of data entry in system (eg: GRNs, POs/Invoices, new items creation, etc)
b) Ensure accurate paperwork submission to accounts (eg: purchase invoices)
c) Liaise and coordinate with accounts on payment priorities, schedules, prepayments, disputes
d) Prepare and submit monthly/requested reports (eg: IAR reports or requested reports by management)
4. Warehouse Management
a) Conduct physical stock checks of in-coming stocks
b) Ensure that inventory is properly maintain, adequately stored and accounted for in the designated areas
c) Maintain and practiced SS620 store cleanliness and requirements
d) Coordinate corrective actions to address areas of non-conformance to SS620 standards
5. Others
a) Modular MTO order/project - to calculate and request special prices for local offices if required
Qualifications, Skills & Experience Required
a) Diploma/Degree in any discipline, Supply Chain or Business graduates will have advantages
b) Min. 4 years of relevant working experience
c) Proficient in MS Excel and relevant systems
