Responsibilities
- Manage Executive’s calendars, including scheduling appointment, meetings, and conference calls, and coordinating travel arrangements.
- Screen and prioritize incoming calls, emails and correspondence, responding to or redirecting inquiries as appropriate.
- Prepare and edit correspondence, presentations, reports, and other documents for Executives, ensuring accuracy and professionalism.
- Coordinate and prepare materials for meetings, including agendas, presentations, and supporting documentation.
- Attend meetings with Executives as needed, take meeting minutes, and follow up on action items.
- Assist with special projects and initiatives as assigned by Executives, conducting research, compiling data, and preparing reports as needed.
- Coordinate Executive events and unctions, including scheduling logistics, and coordination with internal and external stakeholders.
- Manage Executive expenses, including tracking receipts, preparing expense reports.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Handle document management (printing, binding, courier, copying and filing).
- Assist in composing replies for CEO’s review and approval as and when required.
- Perform general administrative tasks, such as filing, photocopying, scanning, and ordering supplies, to support the smooth operation of the Executive Office.
- Any other ad-hoc duties assigned from time to time by the Executive.
Job Requirement:
- Bachelor’s degree in Business Administration, Communications or related field preferred.
- Min 3 years of experience as an Executive Assistant or similar role, supporting Senior-Level Executive in a corporate environment.
- Strong organization and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with Executives, colleagues and external stakeholders.
- Proficiency in Microsoft office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management and scheduling software.
- Attention to details and high level of accuracy in preparing and proofreading documents and correspondence.
- Proactive and resourceful, with the ability to anticipate needs, solve problems, and take initiative to support Executives.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Flexibility to adapt to changing priorities and willingness to assist with various tasks as needed.
- Professional demeanor and a positive attitude, with a commitment to providing high-quality administrative support.
