About the role
A combination of project delivery and BAU management, this role supports projects and maintains the governance frameworks and reporting for the region to support International and Trading & Shipping businesses growth strategy.
The role is expected to support governance, risks and controls as well as have coordination responsibility to champion process improvements, enhance data integrity and accuracy for reporting and training across the region.
The project support and analysis responsibility works across a broad range of cross functional opportunities at Ampol, primarily in Trading and Shipping. The project initiatives are focussed around building new business capabilities and enhancing processes. Initiatives are led through the Transformation and Governance team includes managing multiple project workstreams, resources, prioritisation of initiatives and stakeholder engagement across various business units.
Key responsibilities
Support projects for International & Trading & Shipping
- Support Project Specialist in managing initiatives through the project life cycle and translate strategy into project implementation. This includes planning and coordinating required resources, management of change execution and business case development to progress projects through each phase. Initiatives will require input from a broad range of teams within Ampol. Engagement with these teams including the ability to influence, will play an important part in the success of this role.
Support idea generation in Trading and Shipping
- Support Project Specialists in idea generation workshops in the Trading and Shipping team in order to assist the department in maximising the value generated by the business. This includes considering the team capabilities required to support the business growth plan, addressing capability gaps and identifying enablers to business growth success.
Implement the use of Ampol Management of Change tools in Trading and Shipping
- Support Project Specialists through the management of change processes during initiative implementation. This includes the use of tools and frameworks to assist in generating value, improving safety awareness and efficiencies in Trading and Shipping.
Support Continuous Improvement in the Trading and Shipping team
- Support implementation of changes through process reviews, measure and validate required outcomes
- Responsible for compiling & coordination of process training with relevant stakeholder groups
Support the development and use of project management frameworks in Trading and Shipping
- Assist the Trading and Shipping department in project management of team specific initiatives including use of processes developed for the group. This includes managing and maintaining the project framework to ensure it is fit for purpose.
Support governance, risk & control initiatives, and monthly reporting
- Support the Governance Specialist in managing the risk & control lifecycle and reporting including ownership and maintenance of the Trading & Shipping risk register.
- Support compiling & coordination of training with relevant stakeholder groups.
- Manage and update related project tracking artifacts & governance.
Qualifications & experience
- Tertiary qualification in Engineering, Finance or Business or related discipline or relevant operational experience.
- Business Process Management / Six Sigma / Data qualifications
- Project 5+ years of program/project management, management consulting or leading business change
- 2+ year’s downstream oil industry and/or petroleum trading companies in areas such as Supply planning, Supply operations, line finance roles, corporate planning and strategy, and distribution and sales leadership positions.
- Application of agile project methodology
- Proven track record in managing procedures, controls and training with ability to develop insights on risk and control matters for Risk and Control owners
- Familiar with data management and visualisation
Skills knowledge
- Ability to manage ambiguity and complexity including management of change and relevant documentation.
- Ability to engage with and influence internal and external stakeholders to achieve successful project implementation outcomes.
- Experience in workstream or small project delivery coupled with excellent communication, written and problem-solving skills
- Excellent ability to understand, analyse and communicate governance, risk & control processes, requirements and solutions
Possess good understanding of the following:
- Governance frameworks such a three lines of defense, controls and metrics, operational excellence management systems
- Strong stakeholder engagement and management [internal and external]
- Working with technology to define automation and visualisation activities
