Job Description:
1. Accounts Payable and Receivable:
- Process invoices, expense reports, and payment requests accurately and in a timely manner.
- Maintain vendor and supplier records, including payment terms and contact information.
- Reconcile accounts payable and receivable transactions to ensure accuracy and completeness.
2. Data Entry and Record-Keeping:
- Enter financial data into accounting software or spreadsheets, including journal entries and transactional records.
- Maintain organized and up-to-date financial records, including invoices, receipts, and purchase orders.
- Assist in the preparation of financial reports and statements as needed.
3. Expense Management:
- Monitor and track employee expenses, ensuring compliance with company policies and procedures.
- Process employee expense reports and reimbursements in accordance with established guidelines.
- Assist in reviewing expense reports for accuracy and completeness.
4. Bank Reconciliation:
- Reconcile bank statements and financial accounts to ensure consistency and accuracy of financial data.
- Investigate and resolve any discrepancies or issues identified during the reconciliation process.
- Maintain documentation and records related to bank transactions and reconciliations.
5. Financial Reporting Support:
- Assist in the preparation of financial reports, including balance sheets, income statements, and cash flow statements.
- Provide support during the month-end and year-end closing processes, including reconciliations and adjustments.
- Collaborate with other team members to compile financial data and information for reporting purposes.
6. Administrative Support:
- Provide general administrative support to the finance team, such as filing, scanning, and organizing documents.
- Assist in scheduling meetings, preparing agendas, and taking meeting minutes as needed.
- Perform other ad-hoc tasks and projects assigned by the Finance Manager or Financial Controller.
Qualifications:
- Bachelor's degree in Finance, Accounting, Business Administration, or related field preferred.
- Prior experience in finance or accounting administration is an advantage.
- Proficiency in MS Office suite (particularly Excel) and accounting software (e.g., QuickBooks, SAP, SLQ).
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent organizational and time management skills.
- Ability to communicate effectively and collaborate with team members.
- Strong problem-solving skills and ability to work independently under minimal supervision.
