Job Description
1. Secretarial & Administrative Support.
- Performs general clerical and secretarial duties.
- Liaising with relevant organizations and clients
- Coordination and scheduling of meetings within office and with external parties
- Determine which issues require immediate attention, and communicate to leadership
- Prepare letters, reports, memoranda, meeting minutes, forms, and similar material based on dictation.
- Booking and preparing of conference rooms for meetings.
- Making travel arrangements (flight, hotel, transport, etc.), and itineraries for executives
- Logging and processing bills or expenses
- Printing and copying documents as needed.
- Any other duties as assigned.
2. Support to Business Group
- Updating of vessels’ schedules and voyage record information in file
- Prepares Hire invoices to Charterers
- Prepares and sends remittance instructions with supporting documentation
- Prepares documents required in accordance with financial contracts
- Upkeeping of cash waterfall
- Internal coordination on commercial claims handling
- Any other duties as assigned.
Requirements
- Is detail-oriented and professional experience in an administrative role.
- Has exceptional communication skills.
- Able to work independently and reliably.
- Is flexible and adaptable in various situations and when interacting with many different personalities
- Is able to organize and prioritize tasks including delegation of tasks when appropriate.
- Is proficient in Microsoft Office Suite.
