We are currently seeking a high calibre professional to join our team as an Executive Assistant.

Principal Responsibilities

The role of the Executive Assistant (EA) is important to the success of the Head of WPB South Asia. The EA will manage all tasks to support the Head such as scheduling meetings and visits; reviewing, prioritizing and responding to emails; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the leadership team perform their jobs.

  • Deliver efficient and high quality administrative and secretarial support to the Head of Wealth and Personal Banking (WPB), South Asia
  • Working to provide executive assistance and administration support to the Head of South Asia’s leadership team, as required
  • Responsibility for significant heavy calendar management, requiring interaction with other executives and assistants
  • Responsible for scheduling a variety of external meetings, conference attendances with external consultants and industry bodies / organisations
  • Communicate and handle, as required, incoming and outgoing emails on behalf of the Head of South Asia, responding where appropriate
  • Review and summarize miscellaneous reports and documents; prepare background documents and notes, as necessary
  • Make travel arrangements for the Head and other individuals within the leadership team as required
  • Produce letters, reports, memoranda, forms and schedules, utilizing various PC-based software packages
  • Perform general clerical duties, which potentially include confidential materials
  • Coordinate with members of the broader team to consolidate the overall department organization chart
  • Receive and process information from business units, other departments, HR and coordinate with other team members for various reporting and tracking such as annual leave, compensation leave, financial, operational and personnel changes, while maintaining confidentiality
  • Gatekeeper or primary point of contact role for the team
  • Provide support on the coordination and implementation of people engagement initiatives and events
  • Coordinate WPB level mass communication working with the Communications team and other stakeholders
  • Perform ad hoc assignments, as required

Qualifications

  • Ability to work with senior managers across the team and the Group
  • Excellent communication and interpersonal skills
  • Solid experience supporting, communicating with, and providing executive assistance to Senior Executives, experience in financial services is preferred
  • Excellent planning & organizational skills
  • Good judgement in recognizing scope of authority and prioritization
  • Proactive, enthusiastic, self-motivated
  • Professional telephone manner
  • Knowledgeable and proficient use of Microsoft Office (Excel, Word and PowerPoint), Microsoft Outlook
  • Proven experience in an administrative support role
  • Confidentiality and highly trustworthy
  • Focus on delivering stakeholders’ requirements timely and continuously seek ways to improve service, productivity, and quality of work
  • Responsible for managing and mitigating any operational risks that may arise
  • Apply the relevant policies, procedures, practices, and standards and ensuring a high level of quality across all output
