Responsibilities
Office and General Administration
- Manage Company vehicles’ insurance, road tax renewal and maintenance where required
- Manage the Group of Companies’ archives by management of warehouse storage organization, rental, sorting and filing
- Prepare relevant Company documents including Company profile and other procedural documentation
- Assist in planning, organizing and managing of Company Events and Activities
- Other ad-hoc activities or errands as assigned
Front Desk & Personal Assistant
- Organize, set up and take minutes for internal and external meetings
- Collate and maintain documentation for Corporate Credit Cards and other relevant expenses to ensure prompt and proper payment
- Manage Group of Companies owned residential properties locally and overseas
- Other relevant ad-hoc activities as assigned
- Attend to and manage reception duties and meeting room arrangements
- Collect, sort, arrange and manage local and overseas mails and courier
- Arrangements for local and overseas flight, accommodation for employees and/or guests
- Application and Maintenance of local and overseas visa and insurance
- Liaise with external suppliers and vendors to facilitate the maintenance of the office including but not limited to general facilities management, building management, taxes, insurance, stationery and pantry maintenance
Requirements
- Minimum Diploma in any field
- At least 3-5 years relevant experience in front desk, personal assistance and/or Office Administration
