Position Title: Administrative Manager and Executive Assistant
Location: Singapore, onsite
Position Overview
The Administrative Manager at ClearWind sits at the center of the company’s operations in Singapore, supporting a team of professionals working across Southeast Asia working on tropical forest conservation and climate change. The AM supervises and oversees the company’s, administrative systems, ensuring that daily operations are performed seamlessly and efficiently. This includes hiring, training of future administrative team members, coordinating with the administrative and finance teams in the United States and countries throughout Southeast Asia, develop, review and improve company policies, systems and procedures. The Administrative Manager will also support recruitment and the provision of human resource services to the team, and undertake bookkeeping and controls on behalf of the Singapore team, with reporting requirements to central financial office in the United States.
Position Responsibilities
- Responsible for the onboarding and offboarding of the employee, interns and independent contractors
- Ownership and maintenance of the Singapore Human Resources Information System (HRIS), Performance Management Tool, Expense Management tool
- Manage all EP applications, work passes, dependents passes, interaction with MOM, ACRA or IRAS
- Scanning and review CVs and work with Department Heads to manage Job Descriptions, reviewing and interviewing candidates
- Document Preparation and Management: Drafts, edits, and manages business documents such as reports, presentations, and memos, ensuring that all information is accurate, up-to-date, and properly formatted.
- Reviewing, developing and/or improving current administrative systems, policies, and procedures, identifying and developing new systems, policies and procedures wherever required.
- Ensuring smooth operation of the office, managing landlord, vendors and supplies
- Lead, manage and track procurement, price comparisons, or other requirements regarding purchase of either IT assets, software, or company support services such as insurance.
- Work with the accounting and management teams in the United States with bookkeeping, travel and expense, and payroll cycle including auto-inclusion scheme
- Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
- Organizing and storing information using the Company’s cloud-based filing systems.
- Travel Booking Management support to the growing team and executives
- Marketing administrative support
- Provide any other executive assistance to the Executives as required
- Any other reasonable tasks assigned
Eligibility Requirements
- Singaporean Citizen or Singapore Permanent Resident
- Bachelor’s degree in business administration, management, or a related field.
- Experience in a related field, such as management, human resources, office management, payroll and vendor management
- Strong communication between all levels of stakeholders in a fast-paced start-up with diverse nationalities
- Exceptional leadership and time, task, and resource management skills.
- Self-starter with strong problem-solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
- Attention to detail
- Familiarity with local labour laws and compliance
- Proficiency with IT, especially MS Office and MacBook, other internal tool stack HRIS, Zoho Expense, Culture Amp and Office 365
