Job Summary:
We are seeking a diligent and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks to ensure smooth day-to-day operations, including but not limited to managing schedules, organizing meetings, handling correspondence, and assisting with basic accounting tasks. The Administrative Assistant will play a crucial role in maintaining an organized and productive work environment.
Responsibilities:
- Manage and maintain executive schedules, including scheduling appointments and conventions, meetings, and travel arrangements.
- Organize and maintain files and records, both electronic and physical.
- Assist with basic accounting tasks such as invoicing, expense tracking, and budget management.
- Handle incoming and outgoing correspondence, including emails, letters, and packages.
- Coordinate and prepare materials for meetings, presentations, and conferences.
- Serve as the point of contact for internal and external stakeholders, including clients, vendors, and team members.
- Perform general office duties such as ordering supplies, managing office equipment, and maintaining cleanliness and organization of the office space.
- Assist with special projects and initiatives as needed.
- Provide administrative support to other team members as required.
Requirements:
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office productivity tools.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in completing tasks.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive and self-motivated with the ability to work independently as well as part of a team.
- Strong problem-solving skills and the ability to adapt to changing priorities.
- Diploma and or equivalent qualification; additional certification in office management or administration is a plus.
Preferred Qualifications:
- Previous experience in a similar industry or environment.
- Knowledge of basic accounting principles and experience with accounting software.
- Familiarity with project management tools and software.
- Diploma in business administration, office management, or a related field.
