Job Summary:


We are seeking a diligent and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks to ensure smooth day-to-day operations, including but not limited to managing schedules, organizing meetings, handling correspondence, and assisting with basic accounting tasks. The Administrative Assistant will play a crucial role in maintaining an organized and productive work environment.


Responsibilities:

  1. Manage and maintain executive schedules, including scheduling appointments and conventions, meetings, and travel arrangements.
  2. Organize and maintain files and records, both electronic and physical.
  3. Assist with basic accounting tasks such as invoicing, expense tracking, and budget management.
  4. Handle incoming and outgoing correspondence, including emails, letters, and packages.
  5. Coordinate and prepare materials for meetings, presentations, and conferences.
  6. Serve as the point of contact for internal and external stakeholders, including clients, vendors, and team members.
  7. Perform general office duties such as ordering supplies, managing office equipment, and maintaining cleanliness and organization of the office space.
  8. Assist with special projects and initiatives as needed.
  9. Provide administrative support to other team members as required.

Requirements:

  1. Proven experience as an administrative assistant or in a similar role.
  2. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office productivity tools.
  3. Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  4. Strong attention to detail and accuracy in completing tasks.
  5. Excellent written and verbal communication skills.
  6. Ability to maintain confidentiality and handle sensitive information with discretion.
  7. Proactive and self-motivated with the ability to work independently as well as part of a team.
  8. Strong problem-solving skills and the ability to adapt to changing priorities.
  9. Diploma and or equivalent qualification; additional certification in office management or administration is a plus.

Preferred Qualifications:

  1. Previous experience in a similar industry or environment.
  2. Knowledge of basic accounting principles and experience with accounting software.
  3. Familiarity with project management tools and software.
  4. Diploma in business administration, office management, or a related field.
