GENERAL SUMMARY
The Admin and Finance Executive is responsible for administrative and finance duties, providing support to SRSF as well as supporting HCSA central corporate service functions. Administrative responsibilities include supporting tenancy administration, receptionist and office.
The Admin and Finance Executive will also be responsible for supporting the central Finance function of HCSA Corporate Services at SRSF, integrating into existing processes and systems in the areas of Accounts Payable, Accounts Receivable, General Ledger, preparing accurate financial and management accounting reports to HDB according to the accounting standards and related statutory and other regulatory requirements in Singapore.
DUTIES AND RESPONSIBILITIES
Finance
1. Process all payments to HDB and other suppliers and vendors in a timely manner
2. Prepare and submit in a timely manner, accurate payment claims to funder and to monitor receipt of payment due to HCSA
3. Reconcile and ensure that payment made to HCSA is accurate based on number of live Tenancy Agreements or any other agreed-upon basis per Contract
4. Collection of rent and other fees from Authorised Tenants/Authorised Occupiers and follow-up with debt-collection
5. Banking and tracking of bank deposits
6. Ensure financial data are updated and recorded in a timely manner using HCSA Finance Management System
7. Contribute to the preparation of monthly income and expenditure statements/reports
8. Support audit exercises by preparing and providing all contracts and agreements, AP/AR documentation etc.
Tenancy Administration
9. Provide administrative support for the management of tenancies including preparation of new tenancy agreements, process renewals and terminations of tenancies
Receptionist and Office
10. Support reception duties, visitors’ management
11. Answer calls from the public and provide accurate, satisfactory answers to queries and concerns, escalating to the appropriate personnel for attention and follow-up where necessary
12. Ensure proper filing, documentation and data entry as required
13. First point of contact for feedback received through various channels (e.g. e-form, feedback box etc); disseminate for follow-up to the relevant personnel.
14. Sort and distribute incoming mail (tenants’ mail will be sorted and distributed by Operations Executive)
15. To manage office inventory, track and monitor office inventory to ensure office functionality, and to order such supplies when needed
16. Serve as point of contact between HCSA HQ and SRSF and provide administrative support at SRSF for central Corporate Office functions
Secretarial and Administrative Functions
17. Purchase and maintain the necessary insurance for the operations of the facility (excluding staff insurance which will be covered by central HR function)
18. Assist to prepare and submit reports to HDB when necessary, such as feedback reports, incident reports etc.
Others
19. Any other duties assigned by supervisor from time to time
QUALIFICATIONS
Education And Experience
1. Minimum Diploma in Finance/Accountancy
2. Minimum 2 years’ relevant working experience
3. Knowledge in using Finance Management System
4. Proficient in data visualization, data analysis computer applications
