In this role, you will have the opportunity to:
- Perform receptionist duties in welcoming guests, directing them to the appropriate person or department while ensuring reception area is tidy and presentable, with all necessary stationary and materials.
- Provide operational support on plant daily activities, such as engaging dry-cleaning services, arranging company transport, managing incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.
- Maintain office supplies inventory by checking stock levels, anticipating needs, placing orders, and verifying receipt. Coordinate with vendors to ensure timely replenishment of consumables, e.g. pantry consumables, business cards, ID, stationary, etc.
- Coordinate meetings and appointments, including scheduling conference rooms, food catering and sending out meeting invitations.
- Assist with travel arrangements for staff members.
- Ensure office equipment is properly maintained and serviced.
- Perform necessary SAP transactions, e.g. raising purchase requisition, and follow through the procurement.
- Provide administrative support for meetings, training sessions, workshops, kaizens, special projects as needed.
- Assist the site leaders in planning and implementing operational activities.
- Liaise with different departments to facilitate cross-functional projects.
- Assist with other administrative tasks as assigned.
The essential requirement of the job include:
- Diploma in Business Administration, Supply Chain or related field.
- 2-3 years in administrative role, preferably in manufacturing settings.
- Strong organizational and multitasking abilities with attention to details and a high level of accuracy in works.
It would be a plus if you also possess previous experience in:
- Office administration certification
- SAP MM (e.g. creating purchase requisition and follow up on the procurements).
