International law firm located in Raffles Place is looking for a Receptionist (Temp Position) from 25th March to 7thJune 2024.
Responsibilities
- Answer / screen incoming calls, especially for Partners
- Reserve Conf / Meeting Room as requested by secretaries, etc
- Update Conf / Mtg Room Usage Report –
- Receive guests & inform meeting host/sec
- Arrange drinks with F&B
- Order meals for meetings as requested by secretaries
- Coordinate with F&B to serve food and to clear after meetings
- Direct transport booking requests .
- 9 Prepare visa invitation letters for visitors, when required
- Allocate office for visitors
- Coordinate VC, polycom & OHP facilities when required
- Issue access cards to visitors staying > 3 days.
- Assist visitors with printing &/or scanning as directly requested
- Telephone directory update
- Maintain local hotel corporate listings
- Organise/cater for office functions eg CNY, Sec Week, etc.
- Arrange o'sea courier service - both standard weekly & ad hoc
- Stock o'sea courier airway bills, envelopes & carton boxes
- Arrange local courier service when given addressed package by secretaries
- Daily Out-of-Office email
Administrative Duties
- Update Client Matter Listing in shared folder
- Monitor & report on CLE seminar.
- Update Office floor plan, when required.
- Record annual & medical leave absences
- Record medical & dental claims
- Prepare annual planner for secretarial evening/reception rosters
In absence of F&B Asst:
- Prepare drinks for meetings
- Clear Conf / Mtg Rooms after meetings
In absence of F&B Asst and office assistant:
- Purchase fruits for the office
- Post out-going mails
- Stock count for pantry items when delivered
- Collect newspaper & place on reception coffee table, FT to Bill
Salary:$3500 per month.
Hours: 9am-6pm, Monday to Friday
