We are currently seeking a Family Office Administration Manager to provide comprehensive support to our Managing Director and assist in the smooth operation of our family office, including the coordination of foundation activities.
Role Summary:
The Family Office Administration Manager will play a crucial role in ensuring the efficient administrative and operational support for both the personal and business interests of the family. This position encompasses a wide range of responsibilities, including managing daily office operations, providing personal assistance, coordinating foundation activities, and liaising with external service providers.
Key Responsibilities:
- Assist in the coordination and management of daily family office operations.
- Provide administrative support, including handling correspondence, managing schedules, and maintaining records.
- Support financial management tasks, such as processing invoices and tracking expenses.
- Assist with the management of the family's real estate and property holdings, including coordinating maintenance, lease agreements, and property inspections.
- Maintain and update family records, legal documents, and contracts in a secure and organized manner.
- Liaise with external service providers, including legal, accounting, insurance, and investment advisors, under the direction of the Managing Director of Family Office.
- Assist with the planning and organization of family events, medical arrangements, travel arrangements, and meetings.
- Support philanthropic activities, including coordinating foundation activities, tracking donations, and maintaining records for charitable foundations.
- Communicate with family members to address their requests and concerns in a timely and professional manner.
- Conduct research and stay informed about relevant laws, regulations, and industry best practices that may affect the family's interests.
- Ensure a high level of discretion, confidentiality, and trustworthiness when handling sensitive family matters.
Requirements:
- A bachelor's degree in business administration, finance, hospitality, or a related field.
- Excellent communication and interpersonal skills, strong organizational and time management abilities, and attention to detail.
- Willingness to help out whenever it's needed.
- Possessing both leadership potential and the ability to work well in a team.
- Capability to organize and monitor many time-sensitive initiatives.
- A high level of discretion and trustworthiness.
- Singapore Citizen or Permanent Resident (min. 5 years) is preferred.
