Event Sourcing Specialist
Singapore
The Event Sourcing Specialist is responsible for recommending destination and venue options, negotiating with industry suppliers and initial budgeting for assigned client program, meetings and events. The Sourcing Specialist is responsible for supporting and consulting clients around site selection, contract negotiation & execution, savings generation & documentation, and properly updating technology information for all meeting and event types, all in accordance with client processes and tools. Financial responsibilities include; program benchmarking, cost savings negotiations and tracking, invoice payment and accruals.
The Event Sourcing Specialist must build and maintain strong client relationships while providing best-in-class meeting and event services. Additionally, may be responsible for executing onsite events management as and when required.
Your responsibilities
Account Management
- Consultative scoping, intuitive program design, researches/develops/sends eRFP program specifications, monitors availability and offers, provides recommendations, negotiates savings/terms/conditions/concessions, secures contract and provides contract summary for signature.
- Continually evaluate, communicate, measure, and monitor client expectations and service level requirements. Accountable to adjust/modify appropriately where needed and ensure delivering against all client objectives
- Source destination, hotel and venue options that meet the goals and objectives of the client.
- Follow all Standard Operating Procedures (SOP) and keep up to date engagements with individual clients’ processes and procedures
- Negotiate all supplier contracts for the best possible prices and concessions to meet client’s expectation of savings on meeting spend
- Partner with Event Organizer to ensure Request for Proposal (RFPs) meet all client needs for hotel and non-hotel suppliers
- Consult throughout the entire sourcing process and make appropriate suggestions to ensure meeting success regarding proposed meeting venues. Prepare availability grid with appropriate options, track first quoted to negotiated
- Coordinate site inspections with suppliers, client, and program manager
Event Sourcing
- Negotiate hotel and venue contracts, utilizing and leveraging on BCD M&E preferred hotel agreements
- Source destination, hotel and venue options that meet the goals and objectives of the client.
- Manage and maintain day-to-day industry and supplier relationships.
- Negotiate all supplier contracts for the best possible prices and concessions in order to meet client’s expectation of savings on meeting spend.
- Recommend and utilize BCD M&E approved Destination Management Companies (DMC).
- Create, develop, price and facilitate new and repeat business proposals, including, but not limited to destination, hotel, activity and event overviews.
- Build budget according to contracted rates, concessions, and approved agenda.
- Keep abreast of new destination options, well-priced seasonal destination options and “hot date” offerings.
- Coordinate site inspections with suppliers, client and program manager. Prepare appropriate site inspection material for clients.
- Enter and update meeting information in meeting management technology. Keep all data and spend information accurate.
- Contract cancellation management and monitor available cancellation credits for rebook opportunities.
- Adhere to all deadlines and turnaround times.
- Adhere to client policies, compliance, and performance management SLAs understanding where to direct meeting requesters as needed.

We’re looking for you if your profile matches the following:
Essential
- Minimum of 2-3 years’ experience in client management preferably within meetings and events industry
- Proficiency Microsoft Office applications
- Knowledge of accounting and payment process
- Events industry and destination knowledge
- Good analytical skills, general understanding of accounting, budget and profit and loss statements
- Strong organizational and coordination skills
- Strong client relationship and customer service
- Strong communication skills, including public speaking and client presentations
- Able to travel up to 10%, when required
Preferred:
- Bachelor’s degree preferred
- CMP certification preferred
- Cvent experience and like technology platforms
