Job Description:

The Executive Assistant (EA) to the CEO is responsible for providing comprehensive support to the CEO, Board of Directors, and Management Team. The job also requires the individual to possess the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Core Responsibilities:

  • Provide sophisticated calendar management for CEO.
  • Act as a liaison and provide support to the Board of Directors, Investors and Key Company leads.
  • Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
  • Anticipate CEO’s needs in advance of meetings, conferences, business engagements, et cetera.
  • Complete a wide variety of administrative tasks that facilitate the CEO’s ability to effectively lead the company, including assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with internal and external parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and filing expense reports.
  • Prioritize and escalate (appropriately) inquiries and requests.
  • Demonstrate leadership to maintain credibility, trust, integrity, and support with both internal and external stakeholders.
  • Follow up on contacts made by the CEO to cultivate ongoing relationships.
  • Manage all aspects of the company’s administrative services.
  • Evaluate and assist CEO in developing office policies and procedures to streamline workflows and anticipate future needs as the company grows.
  • Prepare and collate budgets (both CAPEX and OPEX) in anticipation of the company’s growth forecasts.
  • Process and distribute daily correspondence timely and efficiently.
  • Research, collect and analyze information to help prepare reports for CEO.
  • Maintain professional and technical knowledge by being updated on company’s profile and products; keeping in tune with both social and political climate.

Required Skills & Qualifications:

  • Diploma or equivalent
  • 3-5 years of experience working in an office / corporate setting
  • Proficiency in Microsoft Office, including Word, PowerPoint and Excel
  • Good time management and ability to meet datelines
  • Strong verbal and written communication skills
  • Good organizational skills and ability to multitask
  • Is self-directed, possess good problem-solving and decision-making competencies
  • Good interpersonal skills
